JOB SUMMARY

We are seeking a detail-oriented Logistics Coordinator to oversee the seamless execution of shipping, receiving, and inventory management processes under the direction of the Logistics Manager. This role is critical in ensuring the efficient flow of incoming and outgoing shipments, processing returns, and coordinating inter-island transfers while maintaining accurate records and ensuring compliance with shipping regulations. This role is ideal for a dedicated professional with a strong commitment to precision, operational efficiency, and collaborative teamwork in a dynamic logistics environment. This is a contracted position for 6-9 months.
Requirements

KEY SKILLS AND QUALIFICATIONS

Receiving:

  • Verify box counts upon receipt and sign for incoming materials.
  • Inspect shipments for damage and report discrepancies.
  • Confirm part numbers, quantities, and purchase orders (POs); mark POs on goods and stage materials appropriately.
  • Process received items into the ERP system (IFS).

Shipping:

  • Work with Logistics manager to consolidate goods for ocean shipments and arrange transportation for pickup.
  • Compile with Logistics manager all necessary paperwork for shipments to island destinations.
  • Prepare with Logistics manager commercial invoices; for hazardous materials, segregate and complete IMO declarations.

Returns and Inter-Island Transfers:

  • Nonconformance Tampa items – maintain location and arrange shipping for returns requiring repair and facilitate the transfer of goods between islands as needed.

Administrative Duties:

  • Scan and file all receipts and shipping documentation for record-keeping.
  • Maintain accurate and organized records of all transactions.

Qualifications:

  • Experience in shipping, receiving, or logistics preferred.
  • Familiarity with Inventory Forecasting System (IFS) or similar ERP software is a plus.
  • Knowledge of ocean freight processes, including FCL and LCL shipments, and hazardous materials handling (IMO declarations) a plus.
  • Strong attention to detail and ability to verify counts, part numbers, and documentation.
  • Excellent organizational and multitasking skills.
  • Proficiency in preparing commercial invoices and shipping paperwork.
  • Basic computer skills for scanning, filing, and data entry.

Additional Information:

  • Ability to work independently and collaborate with vendors, freight forwarders, and internal teams.
  • Must be able to lift and move boxes as part of receiving duties (min 50lbs)
