JOB SUMMARY Responsible for coordinating daily delivery operations, managing routing and scheduling activities, and supporting internal departments to ensure accurate, timely, and compliant delivery of pharmaceutical products. DUTIES AND RESPONSIBILITIES · Coordinates daily delivery operations and manages incoming workload across departments. · Plans, schedules, and adjusts delivery routes based on urgency, geography, staffing levels, and operational demand. · Monitors route progress and make real-time adjustments to address delays, absences, weather conditions, and volume changes. · Communicates with Intake/Data Entry, Assembly, Pharmacy, Production Admin, drivers, couriers, and external partners to align workflow timing and delivery priorities. · Contacts clients and external stakeholders to arrange delivery time frames. · Assigns and redistributes driver workloads to maintain service standards and avoid operational bottlenecks. · Schedules for courier pickups and coordinates inter-company transfers. · Prepares and verifies manifests, packing slips, and shipping labels/waybills. · Maintains organized staging areas for outbound deliveries. · Performs Proof of Delivery (POD) management, including sorting, auditing, and reconciliation. · Provides customer service support for delivery inquiries and delivery exceptions. · Coordinates transfer of packages between drivers and routes when required. · Facilitates pickup of pumps, equipment, and waste as required. · Use logistics systems to update order tracking and maintain accurate records. · Participates in documentation and compliance requirements. · Willingness to work in temperature-controlled environments (coolers/freezers) when supporting Pharmacy, Specialty and Dex operations. · Maintains housekeeping and organization standards within logistics work areas. · Participates in ongoing training related to SOP updates, quality programs, and department meetings. · Performs other duties as assigned. Responsibilities Specific to Warehouse and Dex Staff are as follows: • Willingness to work for extended periods in cold environments (walk-in coolers) while handling and packaging pharmaceutical products. • Ability to maintain focus, attention to detail, and adherence to GMP or applicable regulatory guidelines, while working in temperature-controlled settings. • Physical stamina to handle repetitive tasks in cooler conditions, including the use of appropriate PPE. QUALIFICATIONS · High school diploma or equivalent. · Post-secondary education in logistics, supply chains, or related fields is an asset. · Previous experience coordinating high-volume deliveries or logistics operations preferred. · Knowledge of Ontario geography is highly preferred. · Experience working in healthcare or pharmaceutical environments is an asset. · Forklift experience is considered an asset. · Ability to work flexible shifts as required. LANGUAGE SKILLS · Ability to read, write, and comprehend operational documentation. · Ability to communicate effectively with internal teams and external stakeholders. MATHEMATICAL SKILLS · Ability to add, subtract, multiply, and divide using whole numbers, fractions, and decimals. REASONING ABILITY · Ability to prioritize competing demands and meet tight deadlines. · Ability to make sound operational decisions in fast-paced environments. PHYSICAL DEMANDS · Regular use of hands and fingers. · Frequent standing, walking, sitting, bending, and reaching. · Ability to work for extended periods at a workstation. · Ability to work in temperature-controlled environments when required. · Ability to lift upto 50 lbs is required for this role, and the employee must notify the supervisor regarding any health issues that may affect the ability to lift. WORK ENVIRONMENT · Office and warehouse environment. · Occasional exposure to moving equipment and warehouse operations. · Noise level is typically moderate. Other Skills and Abilities • Familiarity with Good Manufacturing (GMP) or applicable Regulatory Guidelines, particularly regarding temperature-controlled storage and handling of pharmaceutical products (a must requirement for Warehouse and Dex employees). Employees working in warehouse operations are required to wear and properly use all essential or required personal protective equipment (PPE) as outlined by their department leader and in accordance with the employer’s safety requirements. This obligation applies to current PPE requirements and any future revisions necessary to maintain compliance with applicable occupational health and safety legislation and regulations.
