POSITION OVERVIEW:

The Logistics Specialist plays a critical role in supporting field locations, warehouse operations, and sales teams, ensuring the timely preparation and shipment of instruments, implants, and trays for surgery cases. A key function of this role is daily collaboration and communication with sales representatives to understand urgent case needs, clarify product requests, and provide proactive updates on order status or inventory availability. This individual must be confident and professional when interacting with sales reps and internal teams to problem-solve in real time, manage expectations, and deliver results. The role also includes inventory management, regulatory compliance, and quality support. Success in this position depends on attention to detail, urgency, teamwork, and most importantly—clear, consistent communication.

Daily management of complex surgical cases, combined with dedicated support of sales representatives is a must. A key function of this role is daily collaboration and communication with sales representatives to understand urgent case needs, clarify product requests, and provide proactive updates on order status or inventory availability. This individual must be confident and professional when interacting with sales reps and internal teams to problem-solve in real time, manage expectations, and deliver results. The role also includes inventory management, regulatory compliance, and quality support. Success in this position depends on attention to detail, urgency, teamwork, and most importantly—clear, consistent communication.

QUALIFICATIONS:

  • Previous experience in the medical device industry is an advantage.
  • A High School diploma required, bachelor’s degree is preferred.
  • Strong customer service orientation with the ability to effectively engage with individuals at all levels and backgrounds.
  • Excellent interpersonal, analytical, and communication skills, both written and verbal.
  • Flexibility to work varied hours and shifts as needed.
  • Experience thriving in a fast-paced, rapidly growing environment that requires cross-functional collaboration and adaptability.
  • Proficiency in Microsoft Office applications, particularly Outlook and Excel.

Responsibilities

RESPONSIBILITIES:

  • Communicate directly, clearly, and frequently with sales representatives to confirm case needs, timelines, product availability, and shipping status.
  • Serve as the primary point of contact for sales reps regarding product preparation, inventory requests, and case-related shipments.
  • Proactively resolve issues or delays by coordinating with internal teams and communicating updates to sales in a timely, professional manner.
  • Build strong working relationships with field representatives to better anticipate needs and improve customer service.
  • Prepare and ship instruments, implants, and trays for surgery cases with accuracy and urgency.
  • Utilize inventory management systems for product distribution and case fulfillment.
  • Track product movement and manage documentation related to sales and inventory communications.
  • Investigate and resolve inventory discrepancies, keeping both team leads and sales informed.
  • Support Field Locations, Warehouse Operations, Sales Leaders, and others in assigned areas.
  • Manage shelf life and expiring inventory, working with sales to minimize impact on case coverage.
  • Maintain a clean, organized, and compliant warehouse environment.
  • Ensure proper labeling and documentation for shipments, including barcodes, lot numbers, and expiration dates.
  • Participate in special projects, including the assembly of new kits and outbound order verification.
  • Support digital scanning and documentation efforts to streamline recordkeeping and product traceability.
