Roles & Responsibilities
Key responsibilities
Import and freight
- Coordinate shipments with our suppliers in France, Italy and the Netherlands
- Manage freight forwarders: request quotations, place bookings, track shipments, decide between air and sea based on urgency and cost
- Check shipping documents before departure: commercial invoice, packing list, certificate of origin, safety data sheets
- Verify and challenge freight invoices
Customs clearance and compliance
- File import declarations through the Dubai Trade portal, follow up Bills of Entry and duty payments
- Ensure cosmetics compliance: Dubai Municipality product registration, MOIAT and ESMA requirements
- Handle dangerous goods correctly. Fragrances fall under Class 3. You are responsible for declarations, UN-approved packaging and limited quantity rules. A single misdeclaration holds an entire container.
- Prepare re-export documentation for the GCC, including certificates of origin, legalisation and SABER / Saleem requirements for Saudi Arabia
Warehouse management (Al Quoz)
- Supervise the warehouse assistant across receiving, quality check, put-away and order picking
- Maintain stock accuracy in our ERP system and run monthly cycle counts
- Manage batch numbers, expiry dates and FIFO rotation. Flag slow-moving references early so that stock can be swapped with the brand before it expires.
- Track contractual buffer stock levels by brand
Delivery and distribution
- Plan the driver's routes around each hotel's receiving hours
- Follow up signed delivery notes and report back to the sales team
- Coordinate deliveries outside Dubai and export shipments across the GCC
Reporting
- Provide a monthly report to the General Manager covering logistics cost per unit, on-time delivery, stock-outs and carrier claims
- Work daily with the sales team on product availability dates
- Propose and implement actions to reduce freight and clearance costs
Desired Candidate Profile
Requirements
Essential
- 4 to 6 years of experience in import logistics and distribution in the UAE
- Hands-on experience with customs clearance in Dubai and Jebel Ali, including filing declarations yourself on the Dubai Trade portal
- Good working knowledge of an ERP system and solid Excel skills
- Fluent English, written and spoken
- Valid UAE driving licence
Advantageous
- Experience with cosmetics, fragrances or other regulated consumer goods
- IATA DGR certification or solid practical knowledge of dangerous goods
- Working knowledge of Odoo
- Arabic, Hindi or Urdu for day-to-day management of the ground team
