JOB SUMMARY:

The LOLER & Service Administrator will play a key role in supporting the daily operations of the service department. This role involves coordinating service requests, managing administrative tasks, liaising with engineers, and maintaining strong communication with clients. The ideal candidate will be highly organized, detail-oriented, and proactive in ensuring smooth workflow and excellent customer service.

Responsibilities
  • Provide general administrative support to the service department, ensuring efficient day-to-day operations.
  • Log and assign visit requests (Service & LOLER), breakdowns, and maintenance tasks, ensuring they are actioned promptly.
  • Create & process LOLER quotes.
  • Coordinate with engineers to ensure job completion and timely return of paperwork.
  • Respond to customer inquiries via phone and email, providing accurate information and support.
  • Maintain strong client relationships through clear and professional communication.
  • Assist in scheduling planned maintenance, repairs, and minor works, ensuring all tasks are tracked and updated.
  • Support department staff managers with administrative tasks, including reporting and documentation.
  • Attend virtual meetings to provide administrative assistance when required.
  • Monitor service performance and follow up on outstanding tasks to ensure efficiency.
  • Liaise with internal teams and external suppliers to obtain necessary information and updates.
  • Maintain and update records, ensuring all service-related documentation is accurate and up to date.
  • Assist in preparing reports, tracking service activity, and updating management systems.
  • Support the coordination of engineer workloads, ensuring jobs are managed effectively.
  • Ensure smooth communication between customers and the service department, pre-empting potential issues where possible.
  • Help maintain an up-to-date schedule of works in progress, assisting managers in tracking deadlines and delays.
