Who will I be working with?
You will be working in our Securities Services team alongside the Regional Head’s Executive Assistant who is responsible for providing comprehensive and pro-active administrative support to the Executive Management Team. The candidate will gain exposure to diary management and email monitoring, PowerPoint and Word document production as required. Duties performed require considerable confidentiality, initiative, tact and independent judgement. This role requires qualities such as adaptability, flexibility, dependability, and accountability.
What will I be doing?
All responsibilities of the role will be with the support from the Regional Head’s Executive Assistant:
Organisation of business-specific internal and external meetings, distribution of relevant papers, and management of minutes where appropriate including managing agenda and collating papers
Assist in organising travel arrangements for Senior Management
Assist with the organisation of external events
Assist in the collection of information from across the businesses and updating schedules, reporting and production of PowerPoint presentations
General office duties will include maintaining group email addresses, stationary management, administration of boarding new joiners, updating of organisation charts and other general documents across the different business areas, processing of expense claims, administration of the office set up
To provide ongoing support to the wider Client Development team.
Act as an ambassador for the business in contact with clients and visitors to the office
Occasional calendar management and meeting scheduling, requiring interaction with both internal and external parties as well as the organisation of appointments across time zones
Build strong relationships with key team members
Ad hoc tasks as requested and agreed by line manager which may include working on small change projects with other areas of the Business
Acting as an ambassador for Digital tools and ensuring these are effectively used
Technical Skills and Qualifications required for the role
Five GCSE’s including Maths and English grade A-C (level 4-9)
Preferred candidates who are finishing A-levels in 2025 or attained within the past 12 months
Proficient in Microsoft Office
Excellent attention to detail skills
Demonstrable experience of operating on your own initiative
The ability to work well under pressure and have the confidence to deal directly with senior/challenging internal & external stakeholders
Demonstrable experience of being highly accountable and often responsible for safeguarding confidential information - discrete and professional at all times
Excellent communication skills, verbal and written
Attention to detail
A proactive approach together with the ability to complete work with minimal supervision in due course
Ability to multi-task, meet deadlines and work well as part of a team
Strong interpersonal skills
