Job Summary: The Lower School Operations Assistant provides day-to-day logistical and administrative support for Lower School student life, events, and travel. This temporary, one-year position bridges the gap between event planning, cross-departmental coordination, and active campus supervision for approximately 750 students. Working closely with the Associate Dean of Lower School and in partnership with the Lower School Operations Communications Assistant, this role helps ensure that events are well organized and that operations logistics align with communications and administrative planning. Strong organizational skills, attention to detail, and the ability to collaborate effectively with various campus stakeholders are essential.  Essential Responsibilities: Event Coordination:  * On-Campus Event Planning: Coordinate the logistics for all Lower School events and traditions (e.g., Grandparents Tea, Grade 6 Moving Up Ceremony), by tracking and ensuring all physical setups, AV/sound needs, and security details match the event plans. * Campus Requests and Facilities Logistics: Draft and track detailed Campus Use Requests (CURs). Coordinate with Associate Dean of Lower School, Physical Plant, AV, and Security to ensure all physical setups, sound needs, and parking details are finalized well before events. Travel, Lower School Athletics, and Student Life: * Field Trip and Travel Logistics: Ensure buses and venues are booked on time and itineraries are distributed to teachers and the Lower School community. * Overnight Trip Logistics: Assist with logistical coordination for Grade 4, 5, and 6 overnight trips, attending the trips as a chaperone to ensure safe and successful execution. * Student Life and Athletics Liaison: Serve as the administrative point of contact for Lower School club advisors and athletic coaches. Multi-Department and Cross-Campus Operations: * Vendor Management: Work with external vendors (e.g., KMC, Roberts Hawaii) to secure physical travel, lodging, and logistical coordination for off-campus events. * Inter-Department Liaison: Communicate and collaborate directly with the Special Programs Office (SPO) and the main Lower School Office to ensure seamless transitions, roster tracking, and safe student hand-offs for after-school activities and Extra Help. Team Collaboration, Physical Support, and Role Development: * Cross-Team Collaboration: Partner with all members of the operations team. Serve as the primary collaborative partner to the Lower School Operations Communications Assistant and Associate Dean of Lower School, to ensure that physical event logistics, vendor orders, and parent communications are fully aligned. * Team Support and Daily Physical Operations: Assist in supervising morning arrivals, recesses, lunches, and Autolines; assist with physical lunch distribution; escort Physical Education classes safely to and from the pool; and provide hands-on support for setting up physical spaces for events. Perform other duties as assigned. Minimum Qualifications:  * Excellent interpersonal skills and the ability to work effectively with students, parents, faculty, and staff. * Proficiency in Microsoft Office Suite (Word, Excel, Power Point) and Google Workspace applications. * Strong written and verbal communication skills. * Ability to manage multiple tasks, meet deadlines, and prioritize responsibilities.
