PLAN COORDINATION AND QUALITY OVERSIGHT

  • Assist with the scheduling of Person-Centered Planning (PCP) meetings.
  • Support the coordination and facilitation of internal meetings to review service plans and ensure effective communication of outcomes among team members.
  • Support the screening process for admission inquiries.
  • Oversee staff additions and removals in the LTSS system to maintain service alignment and ensure regulatory compliance.
  • Maintain service enrollments in The Arc’s CaseWorthy database, ensuring staff can document services rendered.
  • Notify Arc staff of PCP approvals and oversee the management of PCP training records.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree preferred.
  • Minimum of 3 years of relevant experience in Human Services or LTSS environments preferred.
  • Experience with Maryland DDA systems and understanding of legal/regulatory frameworks.
  • Familiarity with LTSS systems, PCP implementation, and Case Management platforms (e.g., CaseWorthy).

Responsibilities

JOB PURPOSE

The LTSS Administrator under the guidance of the LTSS Manager is responsible for the management of the Person-Centered Plan (PCP) processes within the Long-Term Services and Supports (LTSS) system. This role ensures plans entered into the LTSS system are consistent with the plans developed by The Arc and agreed upon by participants, and that they meet the quality, compliance, timelines, and service agreements designed in accordance with the Developmental Disabilities Administration (DDA) requirements. The position administers the LTSS workflow and acts as the primary liaison for external stakeholders regarding LTSS-related activities and licensing requirements.
This position will be able to work remotely, with occasional in-office attendance at the Arc of Southern Maryland offices as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Contract and Process Management

  • Oversee the external contracting lifecycle for all PCPs, including the review and approval of service authorization agreements, to ensure alignment between LTSS and Arc contractual terms while adhering to DDA’s legal, regulatory, and financial compliance standards.
  • Coordinate intake and discharge processes to ensure smooth communication among all stakeholders.
  • Collaborate with external stakeholders to obtain approved PCP packets, compile and edit required documents, and upload them to The Arc’s database management system.

ADMINISTRATIVE AND STRATEGIC RESPONSIBILITIES

  • Maintain accurate tracking systems (e.g., PCP tracker)
  • Pursue opportunities to expand services and optimize reimbursement.
  • Support strategic planning and contract initiatives with leadership.
  • Assist with regulatory audits, licensure, and ePREP activities to maintain DDA compliance standards.
  • Other duties as assigned.
