Job Overview
We are seeking a highly organized and professional Luxury Villas Manager to oversee the
operations of our luxury villas in Harbour Island. The ideal candidate will ensure exceptional
guest experiences, maintain high property standards, and coordinate all aspects of villa
operations, including property management, housekeeping, inventory, reporting, and staff
scheduling.
Key Responsibilities
Guest Interaction
Contact guests prior to arrival to confirm details and special requests.
Welcome guests upon arrival and manage smooth check-in and check-out procedures.
Conduct villa walkthroughs and manage guest check-in forms.
Prepare welcome baskets and special arrangements, including flowers, wine, or
celebratory items.
Coordinate and manage special occasions such as birthdays, anniversaries, or other
celebrations.
Address guest inquiries, requests, and concerns promptly and professionally.
Provide local recommendations for attractions and services.
Follow up with guests during their stay to ensure satisfaction.
Request guest reviews and provide QR code cards prior to departure.
Property & Housekeeping Coordination
Oversee the quality control and maintenance of both luxury homes.
Ensure all systems, appliances, and amenities are in proper working order.
Supervise and coordinate housekeeping staff, including laundry and ironing.
Conduct regular inspections to maintain cleanliness and villa standards.
Inventory & Inspection
Conduct routine inventory checks and update weekly records.
Inspect villas regularly to ensure they are in pristine condition.
Maintain storage areas in a clean, organized, and labeled manner.
Reporting
Prepare weekly reports detailing property conditions, guest feedback, and maintenance
issues.
Report significant concerns to property owners or management team.
Take before-and-after photos of villas for guest files.
Record and report the amount of tips received from guests.
Scheduling & Coordination
Develop and manage housekeeping and staff schedules.
Send weekly schedules to the Miami accounting office.
Ensure adequate staffing levels to meet guest and property needs.
Coordinate with external service providers (landscapers, repair technicians, suppliers).
Liaise with the Miami office regarding inventory and special requests.
Qualifications & Skills
Previous experience in luxury hospitality or villa management preferred.
Strong organizational and multitasking skills.
Excellent communication and interpersonal skills.
Ability to manage staff and coordinate multiple aspects of villa operations.
Professional, polished, and guest-oriented demeanor.
Knowledge of local attractions and services is a plus.
