Product Manager (Volunteer Management System) Role Overview We are looking for a Product Manager to lead the evaluation, implementation, and optimisation of a Volunteer Management System (VMS) to support volunteer engagement across public-facing platforms. In this role, you will work closely with stakeholders, vendors, and technical teams to deliver a scalable, user-centric system that improves volunteer coordination, operational efficiency, and user experience across the organisation. Responsibilities Lead the evaluation and selection of off-the-shelf Volunteer Management System (VMS) solutions aligned to organisational needs Translate business requirements into clear product specifications, including volunteer workflows, scheduling, and data management Drive implementation and configuration of VMS features such as opportunity management, shift scheduling, and volunteer onboarding Collaborate with stakeholders and vendors to ensure timely delivery, system integration, and quality outcomes Ensure system usability, accessibility, and performance, including search, discovery, and user experience optimisation Implement communication workflows such as automated confirmations, reminders, and engagement notifications Manage data integration, reporting capabilities, and volunteer database design to support operational insights and decision-making Requirements At least 3–6 years of experience in Product Management, Business Analysis, or digital solution delivery Experience implementing or managing enterprise systems, SaaS platforms, or CRM/engagement systems Experience working in public sector, non-profit, or community engagement platforms is advantageous Familiarity with off-the-shelf platforms (e.g. CRM, CMS, volunteer or event management systems) Understanding of system integration, data migration, and API-based solutions Experience with user journey design, workflow configuration, and system customisation Knowledge of web platforms, analytics, and reporting tools Strong stakeholder management and communication skills Ability to translate operational needs into scalable digital solutions Strong problem-solving and analytical thinking Ability to manage multiple workstreams and priorities effectively Collaborative mindset with experience working across business, technical, and vendor teams Good To Have Experience implementing volunteer management, community platforms, or engagement systems Familiarity with government digital platforms or public-facing services Experience with user engagement features such as rewards, feedback, or community interaction tools
