Job Description: The Surgical Clinic (TSC) is a group of private practice surgeons representing many specialties of surgical practice to develop patient-focused, conveniently located places to give patients access to needed surgical procedures close to home. Since its founding in 1997, The Surgical Clinic has continued to attract talented surgeons, becoming one of Middle Tennessee’s most respected practices. TSC specializes in bariatric surgery, breast surgery, general surgery, plastic surgery, podiatry, surgical oncology surgery, vascular & endovascular surgery, and veins. In addition, TSC has established several Vascular Procedure Centers, TSC prosthetics, and accredited ultrasound labs. POSITION SUMMARY The Medical Assistant Scheduler within the Podiatry service line of The Surgical Clinic is a dynamic, cross-trained team member who supports both clinical and administrative functions. This role combines medical assisting responsibilities with surgery scheduling, ensuring seamless patient care and efficient office operations. The ideal candidate is a highly organized, detail-oriented, and patient-focused Medical Assistant with strong communication and multitasking skills. ESSENTIAL FUNCTIONS: Coordinates surgical scheduling, including pre-operative testing, post-operative appointments, provider calendars, and surgery center logistics. Obtains prior authorizations and verifies insurance coverage for procedures to ensure financial and clinical clearance. Maintains accurate and compliant clinical documentation, including operative notes, orders, and authorizations. Educates and prepares patients for procedures, providing pre-operative instructions and addressing questions. Rooms patients, reviews and updates medical histories, allergies, medications, and EMR records. Performs clinical support during in-office podiatry procedures, such as staple and suture removal, nail and skin procedures, wound care, dressing changes, and other treatments under provider guidance. Prepares and maintains exam rooms, ensuring cleanliness, safety, and adequate medical supplies. Administers medications or injections as ordered (if certified), following safety protocols. Performs diagnostic tasks, including x-rays, and supports providers with documentation, orders, and follow-up care. Manages patient flow, including greeting patients, check-in/check-out, co-pay collection, insurance verification, and follow-up scheduling. Answers and routes multi-line phone calls, ensuring timely communication with patients, providers, and external partners. Ensure accurate and timely completion of all MIPS Merit-based Incentive Payment System) requirements for providers. Orders, manages, and tracks durable medical equipment and laboratory supplies to ensure clinic readiness. Coordinates referrals to physical therapy and other specialties, processing physician-signed orders. Communicates results of imaging, biopsies, and cultures to providers and patients in a timely manner. Responds promptly to patient, provider, and clinical requests while adhering to clinic policies, procedures, and compliance standards. Performs other related duties as assigned. QUALIFICATIONS AND REQUIREMENTS High School diploma or GED is required. X-ray certification is required or must be obtained within 90 days of hire. Current BLS certification required or must be obtained within 90 days of hire. Completion of a Medical Assistant training program and/or certification (CMA, RMA, or CCMA) is preferred. A minimum of two years of medical assistant (MA) experience is required, along with at least one year of scheduling experience. One year of podiatry experience is preferred. Strong knowledge of medical terminology and surgical procedures is preferred. Proficient in EMR systems (preferably eCW) and Microsoft Office. Ability to multitask and prioritize in a fast-paced environment. Excellent communication and interpersonal skills. Ability to work closely with patients’ feet in the treatment and care of podiatric conditions. PHYSICIAL REQUIREMENTS: Ability to sit, stand, and walk for extended periods.
