Position: Mailroom Coordinator
Schedule: 5/2, occasional OT

We are seeking a highly organized and reliable Mailroom Supervisor to oversee the daily operations of our mailroom. The ideal candidate will be punctual, possess excellent communication skills, and demonstrate strong leadership abilities to manage a team effectively. This role is critical in ensuring the efficient handling of incoming and outgoing mail, maintaining clear communication via email and Microsoft Teams, and prioritizing tasks to meet organizational needs.
Key Responsibilities
- Mail Management: Oversee the sorting, distribution, and processing of incoming and outgoing mail, ensuring timely and accurate delivery.
- Communication: Respond promptly and clearly to email and Microsoft Teams communications, maintaining professionalism in all interactions.
- Organization: Maintain an organized mailroom environment, implementing systems to track and manage mail and packages efficiently.
- Account Setup: Set up and manage accounts for mail-related services, such as postage meters, courier services, and tracking systems.
- Prioritization: Prioritize tasks to meet deadlines and ensure critical mail is processed promptly.
- Problem Resolution: Address and resolve issues related to mail delivery, missing packages, or team performance.
- Compliance: Ensure compliance with organizational policies and postal regulations.
Qualifications
- Experience: Minimum of 2 years of experience in a mailroom or similar operational role, with at least 1 year in a supervisory capacity.
- Skills:
- Exceptional organizational and time-management skills.
- Strong verbal and written communication skills, with proficiency in email and Microsoft Teams.
- Proven ability to lead and motivate a team.
- Familiarity with mailroom equipment (e.g., postage meters, scanners) and account management systems.
- Attributes:
- Punctual and reliable, with a strong commitment to meeting deadlines.
- Detail-oriented with the ability to prioritize tasks effectively.
- Problem-solving mindset with the ability to handle high-pressure situations.
- Education: High school diploma or equivalent; associate or bachelor’s degree in business administration or a related field preferred.
- Technical Proficiency: Comfortable with Microsoft Office Suite (Outlook, Teams, Excel) and mailroom software.
Work Environment
- Full-time position, Monday through Friday, with occasional overtime as needed.
- Fast-paced office environment requiring physical tasks such as lifting packages (up to 75 lbs) and standing for extended periods.
- Collaborative team setting with frequent interaction with internal departments and external vendors.
