Responsibilities

ABOUT THE ROLE

You will be responsible for the provision of high-quality administrative support in order to achieve departmental and organisational goals, a provision of excellence in administrative service delivery along with management of administrative duties aligned to the department’s asset management program and preventive and corrective maintenance programs.

KEY RESPONSIBILITIES OF THIS JOB INCLUDE:

  • You will be responsible for the management of information and documentation associated with our preventative and corrective maintenance programs such as service reports, inductions, permits, credentials, safety documentation, etc.
  • You will assist in managing end-to-end procurement processes for contractors, including vendor identification, tendering, evaluation, negotiation and contract award.
  • You will assist in managing and maintaining the department’s water testing program, documentation, incoming correspondence and actions associated.
  • You will maintain the departmental financial system, processes and documentation.
  • You will thrive in a fast-paced environment.

The ability to provide administrative duties and support to the Facilities Management and Biomed teams along with supporting the Regional Facilities Management Team.

  • Previous Experience in an administration role essential
  • Excellent time management skills and ability to prioritise tasks effectively.
  • Excellent organisation skills and ability to work to deadlines.
  • Ability to multi-task and be flexible.
  • Motivated and enthusiastic with a positive attitude
  • Managing incoming and outgoing correspondence to the maintenance team
  • Provide timely and accurate information to queries.
  • Strong attention to detail with a focus on service delivery.
  • Computer literacy and proficiency in the Microsoft Office suite of programs.
  • Act in a professional manner with the ability to communicate with both internal and external stakeholders.
