ABOUT US

The UCL Estates Operations team manages a property portfolio of over 645,000m2 of diverse real estate on behalf of UCL, supporting over 48,000 student and nearly 15,000 staff. Managing an in house UCL workforce of 250 staff and a contractor workforce of over 1,000, the primary function of the division is to provide all Facilities Management services including, cleaning, security and maintenance.
We are recruiting an experienced on site Maintenance and Operations Supervisor (Shift). The successful candidate will supervise and direct a team of maintenance operatives, plan, prioritise and allocate work to ensure the safe, efficient, and effective provision of reactive and planned maintenance services. Assist the M & E Response Manager / Critical Services Manager in the co-ordination and effective delivery of maintenance operations.

  • Supervise and manage a team delivering planned and reactive maintenance for building services and systems.
  • Handle day-to-day staffing issues, including performance, recruitment, and discipline.
  • Plan and prioritise work to ensure efficient maintenance service.
  • Ensure compliance with UCL procedures and health and safety regulations.
  • Generate Risk Assessment & Method Statements (RAM) and monitor Dynamic Risk Assessment Apps.
  • Monitor team performance using CAFM systems and maintain effective communication with customers.
  • Assess workload trends to optimize resource deployment and mitigate operational risks.
  • Support sustainability efforts by proposing energy-saving initiatives.
  • Lead incident management and attend BAU meetings.
  • Produce weekly and monthly reports on helpdesk statistics, contractor spend, and sustainability.
  • Manage departmental budget and training for staff development.
  • Coordinate unscheduled maintenance and communicate with building users.
  • Provide technical support to the maintenance team and assist with diagnostics and repairs.
  • Issue Permits to Work (PTW) and coordinate essential maintenance access while minimizing disruption.
  • Order and procure essential parts and liaise with engineers for effective maintenance program completion.

ESSENTIAL REQUIREMENTS FOR THIS ROLE…

  • A good general education with sound literacy and numeracy skills.
  • Experience working cooperatively and strategically in a team environment with all levels of personnel, and internal and external stakeholders.
  • Demonstrable success in developing and managing relationships with support functions, stakeholders and third-party suppliers.
  • Strong administrative writing, reporting, presenting and interpersonal skills.
  • Broad working knowledge of policies and procedures in a complex academic institution or similar complex organisation. Knowledge of the University strategic plan, mission, structure, resources, policies and procedures.
  • Advanced oral and written communication skills.
  • Demonstrated skills in researching, gathering, and preparing documents and presentations.
  • An ability to think strategically and plan for the medium and long term as well as on a day-to-day basis.
  • Proven ability to work independently and collegially within a complex institution and with a wide range of internal and external stakeholders.
  • Ability to demonstrate an objective, professional and calm approach when handling difficult situations.
  • Possesses and promotes a positive and collegiate attitude, with the ability to adapt swiftly and a willingness to undertake challenging tasks.
  • Results-focused with the ability to work at pace whilst maintaining a high level of accuracy and attention to detail.

  • A recognised and relevant trade qualification with extensive operational maintenance experience.

  • Experience of supervising/managing operational teams.
  • Experience of work planning; good organisational skills.
