Job Summary:
The Maintenance Coordinator oversees maintenance operations for a portfolio of residential and commercial properties, including scheduling and dispatching technicians, managing work orders, coordinating unit turnovers, and ensuring compliance with inspection requirements.

QUALIFICATIONS:

  • 1-2 years experience in Property Management, Facilities Maintenance or a related field.
  • Foundational knowledge of building construction and trades such as plumbing, electrical, and HVAC.
  • Excellent communication skills in English, both verbal and written.
  • Valid driver’s license and reliable transportation.
  • Ability to work independently with minimal supervision.
  • Strong problem-solving skills and attention to detail.

Responsibilities

ROLE #1 – MAINTENANCE WORK ORDER MANAGEMENT AND SCHEDULING

  • Review incoming tenant workorders and requests
  • Work with tenant(s) to gather further information, provide troubleshooting support and resources for requests
  • Determine appropriate plan of action for work orders and route workorder appropriately
  • Schedule in-house maintenance technicians daily
  • Create work orders and ensure that corrective actions are completed for any violations

ROLE #2 – TURNOVER PROJECT SCOPES

  • Conduct move-out inspections to assess and document conditions and damages of newly vacant units
  • Create turnover project scope of work and create necessary work orders
  • Conduct walk-throughs of unit post-turn to ensure necessary punch list items, including those from any inspection reports, have been completed

ROLE #3 – INSPECTION MANAGEMENT

  • Attend all Rental Property Inspections
  • Coordinate reinspections with all inspectors within required time frames
  • Track all Rental Property Inspections and Internal Property Inspections and ensure any necessary repairs are completed
  • Track all inspection documentation for municipalities required inspections

ROLE #4 - RESPOND TO ON-CALL EMERGENCY WORK ORDERS

  • Follow company on-call schedule to respond to emergency work orders. When work order requires, coordinate on-call technicians to address emergency requests, such as leaks, power outages, or safety hazards, in a timely and effective manner.
  • Coordinate with external vendors/contractors when necessary.
