POSITION SUMMARY:

We are seeking a highly motivated and detail-oriented Vacant Suite Maintenance Lead, to oversee the preparation of vacant residential suites for new tenant move-ins. Reporting directly to the General Manager and Owner, this role is critical to minimizing vacancy times by ensuring all units are turned over on time — or ahead of schedule — with exceptional quality. The ideal candidate is extremely organized, proactive, and capable of leading and supporting a team while managing multiple priorities across various locations.

QUALIFICATIONS:

· Experience in property maintenance or turnover operations with a focus on suite readiness and coordination.
· Strong leadership, planning, and organizational skills with a proven ability to manage tight deadlines.
· Proficiency in Microsoft Excel or similar tools to create, manage, and track data accurately.
· Valid driver’s license and access to a reliable vehicle for regular travel between properties.
· Hands-on knowledge of general maintenance trades including plumbing, electrical, drywall, painting, and carpentry.
· Ability to lead by example while also supporting the broader team and departmental objectives.
· Excellent communication skills and the ability to work effectively with tenants, staff, and vendors.
· High attention to detail and commitment to quality and accountability.

Responsibilities

· Lead the full vacant suite turnover process, ensuring all units are completed and ready for move-in by established deadlines.
· Schedule and perform preliminary suite inspections prior to tenant move-out to assess the scope of required repairs and upgrades.
· Plan and prioritize unit work in advance to ensure deadlines are met efficiently and without compromise to quality.
· Ensure the maintenance team has necessary supplies, tools, and materials well ahead of scheduled work.
· Assign and follow up on employee progress within the turnover schedule to ensure standards and timelines are upheld.
· Regularly travel between properties to oversee progress, complete inspections, and provide on-site support.
· Maintain accurate records and spreadsheets to track suite status, supply usage, repair needs, and project timelines.
· Demonstrate strong computer proficiency to create, update, and organize spreadsheets and internal documentation.
· Liaise with vendors and contractors for specialized work, coordinating timelines and ensuring proper execution.
· Collaborate closely with the Maintenance Department In-Suite Lead and assist in suites when required to help meet overall departmental goals.
· Promote a positive, motivated team environment focused on productivity, quality, and accountability.
· Ensure compliance with company policies, safety standards, and local codes/regulations.
· Continuously seek ways to improve suite turnover processes, reduce downtime, and maximize efficiency.
· Responsible to shop and conduct cost comparisons of product to ensure maximization of the financial goals.
