POSITION SUMMARY

The Maintenance Manager at Hollyburn Country Club is responsible for leading the maintenance team and overseeing the effective operation, safety, and longevity of all club facilities, equipment, and grounds. This role combines people leadership with hands-on operational management to ensure a high standard of service for members and staff.

The Maintenance Manager provides daily direction and support to the team, sets clear priorities, and ensures work is delivered safely, efficiently, and with minimal disruption to club operations. Core responsibilities include:

  • Hiring and developing staff
  • Scheduling and monitoring maintenance activities
  • Planning and executing seasonal closures and projects
  • Managing departmental budgets
  • Maintaining strong relationships with vendors and contractors

Success in this role is measured by team engagement, timely completion of work, adherence to budget, and the consistent delivery of safe, reliable facilities that enhance the member experience.

SKILLS & QUALIFICATIONS

  • 5-years of Experience supervising and managing a multi-faceted operations and teams
  • Experience with HVAC systems, refrigeration equipment, DDC control systems and computerized maintenance management systems
  • Financial management and planning skills
  • Proficient in Excel and other windows-based computer programs
Responsibilities

POSITION RESPONSIBILITIES

Hiring & Team Leadership
· Recruit, hire, and onboard maintenance staff with the right skills and cultural fit.
· Provide clear direction and daily supervision to ensure safe and efficient operations.
· Conduct daily in-person check-ins with the team to review priorities and resolve bottlenecks.
· Send daily shift setups via Teams for both AM and PM shifts.
· Post work schedules, review and approve staff hours, and submit payroll.
· Conduct quarterly team meetings to review performance, goals, and priorities.
· Conduct regular performance reviews and provide coaching for skill development.
· Build a positive, accountable team culture focused on service excellence.
· Coordinate training to maintain certifications and compliance with safety standards.
· Manage shift coverage, scheduling conflicts, and leave requests.
· Recognize achievements and maintain high levels of team engagement.
Work Scheduling & Task Management
· Schedule preventative, reactive, and project-related tasks in the CMMS.
· Assign work orders to team members based on skills and availability in the CMMS.
· Ensure equipment and supplies are available for task completion.
· Monitor and resolve overdue work orders in a timely manner.
· Maintain the work order tracking system with accurate asset and service documentation.
· Prioritize emergency repairs and urgent maintenance requests.
· Coordinate scheduling to minimize disruption to club operations and member activities.
Maintenance Planning & Implementation
· Develop comprehensive maintenance plans for club equipment, facilities, and landscaping.
· Implement preventative maintenance programs to extend asset life and reduce downtime.
· Establish maintenance standards and procedures for consistent execution.
· Track equipment performance and inspections; recommend upgrades or replacements when needed.
· Maintain detailed maintenance logs and ensure compliance with warranties and service requirements.
Facility Closure & Operational Projects
· Budget, schedule, and execute seasonal facility closures and operational projects.
· Coordinate renovation projects with internal staff and external contractors.
· Manage project timelines to ensure completion before reopening.
· Supervise staff and contractors during project execution.
· Conduct progress reviews and adjust schedules when necessary.
· Ensure projects meet quality standards and regulatory requirements.
Budget Management & Cost Control
· Manage departmental expenses within the approved annual budget.
· Follow internal procurement processes for all purchases.
· Track and analyze maintenance costs to identify trends and efficiencies.
· Prepare budget proposals for annual planning.
· Authorize expenditures within designated limits.
· Monitor inventory and implement cost-effective purchasing strategies.
· Generate monthly budget reports and variance analyses.
Vendor & Contractor Management
· Review existing contractor agreements and optimize services where possible.
· Evaluate contractor performance and ensure service-level compliance.
· Develop and maintain preferred vendor relationships.
· Obtain competitive bids for projects and services.
· Monitor contractor work quality and adherence to standards.
· Coordinate contractor access to minimize disruption to operations.
