Position Summary: The Maintenance & Operations Manager directs and oversees all facilities maintenance, repair, custodial, and grounds services delivered by Silk Road Company (SRC) across the AUIB campus. Working with the M&O team, the Manager sets daily and weekly priorities for SRC, inspects completed work, manages the work order process, enforces contract standards, and ensures the campus environment is consistently safe, clean, functional, and well-maintained. The Manager serves as the COO’s operational point of accountability for campus conditions and the SRC relationship on a day-to-day basis, escalating contract performance issues, capital needs, and strategic facilities questions to the COO for decision. Key Responsibilities: Contract Oversight and Operational Direction Serve as the primary institutional point of contact for outsourced facilities services, providing daily direction, reviewing work plans, and ensuring effective allocation of resources across campus. Monitor and inspect completed work to ensure quality standards are met; maintain accurate records of assignments, completion status, and performance outcomes. Identify and escalate performance concerns with supporting documentation and recommended corrective actions. Work Order and Preventive Maintenance Management Oversee the facilities work order system, including receipt, prioritization, assignment, tracking, and confirmation of service requests through completion. Communicate service status updates to internal stakeholders and ensure adherence to established response time standards. Conduct regular campus inspections to proactively identify maintenance needs and coordinate scheduling to minimize disruption. Supervise preventive maintenance programs for all major building systems, ensuring compliance with schedules and technical standards. Monitor equipment condition and lifecycle status; recommend repair or replacement strategies as needed. Campus Quality, Safety, and Compliance Perform structured inspections of campus facilities and maintain a comprehensive log of conditions, deficiencies, and resolution timelines. Establish and monitor standards for custodial and grounds services to ensure campus quality expectations are consistently met. Ensure compliance with applicable health, safety, fire, and building regulations; document and address safety concerns promptly. Support emergency response efforts as the facilities lead when required. Budget Oversight and Reporting Monitor facilities expenditures and contracted service costs to ensure alignment with approved budgets. Review service invoices against completed work and identify discrepancies or scope variances. Supervise facilities personnel, providing direction, performance feedback, and oversight of documentation and records. Provide regular operational updates to senior leadership, highlighting performance metrics, compliance status, risks, and recommended actions. Ideal Candidate Profile Strong working knowledge of building systems — HVAC, electrical, plumbing, fire life safety, civil/structural — sufficient to direct SRC’s work intelligently, inspect it critically, and identify when something has been done incorrectly or incompletely. Demonstrated vendor management capability: able to direct a contracted workforce, set quality expectations, document deficiencies, and escalate performance issues with evidence. Highly organized and detail-oriented: able to manage a high volume of concurrent work orders, inspection records, and SRC assignments without things falling through the cracks. Proactive and present: the instinct to walk the campus, find problems before they are reported, and stay ahead of maintenance needs rather than react to them. Clear and professional communicator: able to give SRC unambiguous direction, document issues in writing, brief the COO concisely, and communicate with campus stakeholders about facilities status. Working knowledge of health, safety, and building code compliance; ability to hold SRC accountable to safety standards and recognize unsafe practices. Proficiency in work order management systems, MS Office, and basic reporting tools; ability to maintain organized, audit-ready records with the team’s support. Education and Experience Education: Minimum: Bachelor’s degree in Facilities Management, Engineering, Construction Management, Business Administration, or a related field. Preferred: Relevant professional certification such as Certified Facility Manager (CFM) or equivalent; training in contract management or vendor oversight. Experience (Minimum / Preferred): Minimum: 5+ years of progressive experience in facilities management or building operations, including demonstrated experience managing third-party contractors or service vendors — directing their work, inspecting quality, and holding them accountable to contract standards. Preferred: Experience managing a facilities service contract in a higher education, hospitality, healthcare, or similarly complex multi-building environment; experience operating as a lean internal team reliant on an outsourced service model; demonstrated ability to maintain campus quality standards through vendor management rather than direct staffing. Certifications / Technical Skills (if applicable): Preferred: OSHA 30-hour certification or equivalent safety training; familiarity with CMMS (Computerized Maintenance Management Systems); project management certification or demonstrated project coordination experience. #LI-REMOTE Why AUIB?
