SUMMARY

The primary role of the Maintenance Planner is to improve work force productivity and work quality by anticipating and eliminating potential delays through planning and coordination of labor, parts and material, tools and equipment, required permits, specialized documentation and equipment access. The Planner is responsible for the planning and scheduling of all non-emergency maintenance work performed in the area to which he/she is assigned. This individual maintains coordination between the production and maintenance organizations and maintains appropriate records and files to permit meaningful analysis and reporting of results.

EDUCATION, LICENSURE AND EXPERIENCE

  • Bachelor’s degree (B.A.) from four-year college or university; or three years related experience and/or training; or equivalent combination of education and experience.
  • Maintenance and Reliability Professional Certification (CMRP) preferred but not required.

QUALIFICATIONS

Essential Duties and Responsibilities include the following (Please note: This in no way states or implies that these are the only duties you will be required to perform. The omission of specific duties does not exclude them from the position. Other duties may be assigned as deemed necessary and appropriate.):

  • Examine all non-emergency work orders to be done and determines scope and best way to accomplish the work. Identifies and obtains materials required on the work order. Consults with requester, maintenance supervisor, engineers, or craftsmen when necessary. Ensures safety needs are given a top priority in work planning and scheduling.
  • Develop a maintenance work schedule for the maintenance area supervisors with input from entire planning group. Maintains backlog files of work orders waiting to be scheduled in accordance with their priority and requested date. Identifies any special skills requirements and makes such arrangements with the planners and/or maintenance supervisors responsible for these skill areas. Issues approved schedules together with relevant work orders and other planning documents to area maintenance supervisors. Discusses with maintenance engineers the “planning packages” and special instructions or considerations to be observed in the execution of the jobs. Reviews with production and maintenance new jobs coming up in the future.
  • Develop and maintain planner reference systems (library) including a file of planned job packages for recurring jobs. Equipment and process specific labor and material information within the library are used to simplify the planning of new jobs.
  • Ensure completed schedules and work orders are returned promptly and that all completed work orders are filled out completely by the craftsman, maintenance supervisor, and authorized production representative. Carefully reviews completed schedules and corresponding work orders returned by the maintenance supervisors. Monitors work order progress and prepares associated reports.
  • Receive all work orders from the requesting departments of the areas to which he/she is assigned, except for emergency work that is requested of the maintenance supervisor for immediate attention. The planner reviews and screens each work order to see that it has been properly filled out with the required information by the requester of the work.
  • Train maintenance and production personnel on proper use Computerized Maintenance Management System (CMMS).
  • Recommend use of outside contractors/suppliers when appropriate and effectively coordinates their use to achieve work order completion.
  • Update the CMMS Preventative Maintenance aspects to ensure optimal upkeep on plant assets
  • Update the CMMS to reflect current Bill of Materials and Spare Parts for critical plant assets.
  • Other duties as assigned.

LANGUAGE SKILLS

Must be able to read, write, speak, and understand the language of the majority cultural group in order to communicate effectively. Must be able to hear enough to understand those individuals as well. Ability to read, interpret, and comprehend documents such as grafts/flow sheets, financials, general professional articles and publications, governmental regulations, safety rules, assignment sheets, and procedure manuals. Must be able to write reports, business correspondence, policies and procedures, and other administrative forms as outlined above.
Must be able to effectively communicate in both individual and group settings. Must be able to present information and respond to questions from individuals and/or groups including employees, managers, and the general public.

MATHEMATICAL SKILLS

In order to perform duties, must be able to:

  • Add, subtract, multiply, and divide all units of measure such as whole numbers, fractions, percentages, and fractions.
  • Compute rate, discounts, ratios, and percent, and
  • Make, read, and interpret financials, graphs, rates, ratios, and percentages.

COMPUTER SKILLS

Basic computer knowledge with the ability to learn software.

OTHER SKILLS AND ABILITIES

  • Display strong organizational skills with ability to prioritize multiple tasks and deal with frequent interruptions.
  • Basic office skills such as phone skills, voice mail, copying, faxing, typing, and directing visitors.

Responsibilities

SUPERVISORY RESPONSIBILITIES

Supervises employees in the office to ensure quality service in accordance with the Personnel Manual and applicable laws. Responsibilities include but are not limited:

  • Determining staffing requirements necessary to meet the department’s needs.
  • Recruiting, interviewing, hiring, and training employees in performance of duties in compliance with all state and federal standards and laws as well as company requirements.
  • Appraising performance, rewarding, and disciplining employees including terminations.
  • Addressing complaints and resolving problems.
  • Planning and directing work schedules to assign and coordinate the work of office employees to promote efficiency of operations and in accordance with budgeted hours, ensuring that all duties are performed – work assignments to assist staff in completing and performing such tasks.
  • Delegating administrative authority, responsibility, and accountability to as deemed necessary.
  • Monitoring turnover rates, employee surveys, and grievances to identify and address trends and/or critical indicators.
  • Monitoring licensure of current staff to ensure they have a valid and current license as needed.
