Description

ESSENTIAL REQUIREMENTS:

  • Fluency in Written and Spoken English and Spoken Urdu/Hindi will be an advantage.
  • Should be highly proficient in Microsoft Word and Excel.
  • Should have at least 2 Years full time experience in a maintenance services setup.
  • Work will be based in Dubai.
Responsibilities
  • Create maintenance schedule for the daily jobs, and where applicable schedule appointments with the tenant.
  • Delegate maintenance jobs to relevant technicians and follow-up for timely closure of the maintenance complaints.
  • Develop a strong working relationship with the maintenance team, and watchmen to ensure delegated tasks are completed most effectively.
  • Maintain an appropriate level of email and telephonic interaction with tenants to ensure customer satisfaction.
  • Create a Preventive Maintenance schedule for each property, and ensure implementation of relevant maintenance tasks.
  • Manage all Annual Maintenance Contracts, conduct timely renewal of contracts with Suppliers and ensure supplier quality and price competitiveness.
  • Ensure timely renewal of all government authority approvals (Civil Defense, Municipality, Elevators, CCTV etc.)
  • Ensure renewal of Property insurance policies.
  • Create weekly / monthly maintenance reports to provide a top-level overview to the manager about the ongoing operations.
  • Schedule final move out inspection in coordination with the property management executives.
  • Follow up with the Maintenance team to prepare the final move out report, send to customer and submit to accounts for final settlement.
  • Send professional quotations with complete job description to potential customers, issue tax invoice as required.
  • Follow up for advance and pending payments, for new and completed maintenance jobs.
  • Collect receipts from the maintenance team, and prepare weekly petty cash reconciliation report for submission to accounts.
  • Collect service reports from the maintenance team, ensure the service reports are properly filled out, then submit to accounts.
  • Create a list of preferred suppliers, and freelance technicians for jobs that require outsourced resources.
  • Take the lead in Identifying potential renovations, repairs and maintenance requirements in properties.
  • Provide high-levels of customer service to the company’s Vip clientele (send post-work pictures, send email on completion of jobs, develop strong working relation with key people in the house etc.)
  • Call tenants on a random basis on completion of jobs to get feedback from tenants on the quality of work, overall satisfaction etc.
