Responsibilities

The role will be part of the CBN Corporate Office in Amsterdam. The Management Assistant supports the Corporate Secretary facilitating the members of the Management Board (MB) and Supervisory Board (SB) in their activities and responsibilities. The Management Assistant reports to the CBN Chief Operations Officer but will work closely with all the CBN Management Board and its Corporate Secretary.

  • You will prepare documents, briefing papers, reports and presentations on behalf of Management
  • Support the Corporate Secretary including in the arranging of registration of authorized signatories with Chamber of Commerce, processing corporate documents (incl. translation, and being notarized and apostilled) and the preparation of responses to information requests e.g. KYC related of related financial parties
  • Help plan and facilitate company-wide events and staff engagement actions including townhalls, staff broadcast emails and other internal communications
  • Arrange and facilitate meetings, ensuring all parties can attend and room availability
  • Take the minutes of Management related meetings, distribute associate documents and monitors and follows-up for the timely completion of action points Prepare and facilitate the participation of the MB and SB members in seminars, congresses and annual meetings outside the bank
  • Make travel and visa arrangements. Handle the MB’s and SB’s expense declarations
  • Handle incoming emails, postal mail, telephone calls, (incoming / outgoing); administer them efficiently and professionally including monitoring and follow up as required
  • Provide support to the MB as requested including manage absence administration
  • Support in the daily maintenance of the Amsterdam office conditions (incl. monitoring document security and clean desk policy)
  • Other duties as requested
