We are now looking for an
Management Assistant
To join our team in Kirkkonummi. Are you an experienced and resourceful assistant with a knack for solving unexpected challenges calmly and efficiently? We’re seeking a Management Assistant to support our management team and ensure smooth operations at the executive level. You will also organize key events, such as international client visits or employee celebrations. This role is essential for maintaining an organized and efficient environment, coordinating complex schedules, and enabling the management team to focus on high-impact activities. You’ll act independently within your responsibilities, taking proactive decisions and providing resilient, flexible support in a fast-paced setting.

Responsibilities

  • Calendar Management: Oversee the CEO’s calendar, coordinating meetings, events, and monthly executive sessions.
  • Management team meetings: Write notes and summaries of country management team meetings.
  • Travel and Expense Coordination: Organize travel arrangements and manage expense claims for the management team.
  • Visitor and Event Coordination: Schedule and coordinate visitor meetings, arrange meeting rooms, and manage catering and travel logistics.
  • Project- and event assistance: Support various executive projects, including marketing events, employee events, and internal initiatives.
  • Administrative Approvals: Process and approve various requests.

Requirements

  • Experience: Previous experience as an Executive or Management Assistant, ideally within a fast-paced, dynamic organization.
  • Education: Applicable education, for example, a bachelor’s degree in business administration.
  • IT Skills: Demonstrated up to date IT-skills and advanced user of Microsoft Office. SAP knowledge is an advantage.
  • Excellent communication: You have fluent interpersonal skills and you know how to be culturally sensitive – we host events for people from all over the world.
  • Proactive Problem-Solving: Ability to tackle unexpected challenges with calmness and professionalism.
  • Independent Decision-Making: Confident in making decisions within the scope of assigned responsibilities.
  • Organizational Skills: Highly organized with strong attention to detail in managing schedules, projects, and events.
  • Positive Attitude: Maintains a positive, can-do attitude.
  • Language Skills: Fluent Finnish and English language skills are required.
