We are looking for an experienced administrator to assist with the operations functions that support the core business of our Property Management department. You will ensure that best practices are followed to maximise the efficiency of the department and provide a high level of service to clients and our teams.

SKILLS

The Management Operations Assistant will need to demonstrate the following skills:

Project management skills
Teamwork skills and the ability to work well with others and draw information from various sources
The ability to handle long and complex documents and understand relevant legislation
A practical, flexible and innovative approach to work
IT skills, the use of spreadsheets and other databases will be required

QUALIFICATIONS

The Management Operations Assistant must have previous administration experience, preferably 2-3 years.
Previous experience in dealing with H&S would be preferable but not essential.

Responsibilities

The Management Operations Assistant will work with our Director of Property Management Operations and their responsibilities will be:
Assist with preparing documents including specification to put out tenders for contractors and suppliers
Set up new contractors ensuring that they have all the correct accreditations and H&S documentation
Maintaining the health and safety platform by updating inspection reports received and preparing reports for outstanding actions and inspections
Assisting property managers with completion of outstanding health and safety tasks where required
Maintaining database of approved contractors and keeping the property managers informed of changes to the approved contractor list
Maintaining the out of hours database and ensuring this is kept up to date and distributed to the out of hours provider when required
Ensuring all appropriate buildings have a tenant handbook in place and is distributed to all tenants
Assisting with preparation and distribution of management contracts to client for renewal
Assisting in organising in-house training for the property managers on relevant topics
Assisting with recruitment functions such as putting together job descriptions, liasing with recruitment agents and arranging induction training
Assisting with updating and maintaining department procedures and processes
