Position Summary:
This position provides comprehensive financial and accounting services to support the McGill Libraries’ financial health and reporting. The role involves developing, implementing, and monitoring the Libraries’ budgets, financial strategies, policies, and controls across various units. The Financial Services Manager is responsible for managing financial transactions, overseeing audits, and ensuring compliance with all relevant regulatory requirements. The position also includes responsibilities for providing strategic advice on budget and financial matters to the Libraries’ senior leadership.

Primary Responsibilities:

  • Manage and oversee the activities related to financial record-keeping, including budgeting, invoicing, and monitoring financial transactions, ensuring they align with generally accepted accounting principles (GAAP), university regulations, and financial reporting standards.
  • Ensure that financial operations contribute effectively to the Libraries’ overall objectives and meet accounting and reporting targets and deadlines.
  • Develop and implement financial policies, procedures, and strategies that support the Libraries’ goals, with a focus on financial accuracy and operational efficiency. Lead efforts to streamline financial systems and processes, ensuring that they meet both short-term and long-term unit and service needs.
  • Ensure the Libraries’ financial controls, systems, and processes are continuously updated and optimized.
  • Prepare and review complex financial and budget reports for submission to internal and external stakeholders, statements in a timely and accurate manner.
  • Lead efforts to monitor and report on financial performance, identifying areas of concern and making recommendations for corrective actions.
  • Ensure compliance with all applicable laws, policies, and reporting requirements.
  • Manage the identification and mitigation of financial risks, ensuring that proper controls and procedures are in place.
  • Respond to internal audit requirements and address any issues raised.
  • Supervise the Libraries’ internal procurement process to ensure it follows the University policies and government directives and regulations.
  • Lead and manage a team of financial specialists, ensuring their development through ongoing training, feedback, and performance evaluations. Work to foster a collaborative and high-performance culture within the department.
  • Represent the department in meetings with senior management and other internal or external stakeholders, providing expert financial advice and reporting on key initiatives.
  • Manage and oversee the activities related to financial record-keeping, including budgeting, invoicing, and monitoring financial transactions. Supervise teams involved in these activities to ensure timely and accurate processing.
  • Advance the equity, diversity, inclusion, and accessibility as well as reconciliation with Indigenous Peoples through the McGill University Libraries’ services and of the Libraries as a workplace.
  • Responsible for project management of other strategic initiatives as assigned.

Other Qualifying Skills and/or Abilities:
Bachelor’s degree in Finance, Accounting, Economics, Business Administration, or a related field. 5 years of progressive experience in financial management, accounting, or a similar field, ideally with experience in a higher education environment. A high standard of professionalism, ethics, and integrity in all financial dealings and decision-making processes. Ability to ensure high accuracy and precision in all financial tasks and reports. Comfortable in a fast-paced environment, with the ability to quickly adjust to changes in the financial landscape or organizational priorities. Ability to analyze complex financial data and generate comprehensive reports that are accurate and easily understood by stakeholders at various levels. Expertise in preparing financial statements and budgets, in accordance with relevant accounting standards (GAAP). Strong understanding of variance analysis, short-term and long-term financial forecasting, financial modeling and resource allocation. Ability to implement and oversee financial controls to safeguard to ensure compliance with regulatory requirements and with the University policies. Proven ability to lead and motivate a team of financial professionals and administrative staff, fostering a collaborative and high-performance environment. Familiarity with internal and external audit processes, ensuring that financial practices comply with all relevant laws, regulations, and policies. Ability to respond to audit inquiries and manage corrective actions as needed. Strong verbal and written communication skills, with the ability to present financial information clearly and persuasively to senior leadership, external stakeholders, and auditors. Collaborative mindset and ability to work cross-functionally with other departments (e.g., HR, Procurement, and Risk Management). Strong analytical skills and the ability to make informed decisions based on financial data, strategic goals, and risk assessments. Ability to proactively address financial issues and recommend actionable solutions to complex problems. Familiarity with modern financial reporting tools and dashboards that enhance decision-making. Master’s degree (e.g., MBA, MFin, or related advanced degree) would be an asset. Experience with financial audits. Familiarity with university-specific financial regulations and reporting requirements.
