SUMMARY:

The Manager, Business Operations supports the business on key operational matters. This highly visible role ensures smooth operations, supports the deliver of key initiatives, and manages the implementation of projects at a site level. The ideal candidate will have a strong understanding of business operations, excellent communication skills, and a proven track record of success in a fast-paced environment.

QUALIFICATIONS/PREFERRED SKILLS:

  • Bachelor’s degree desirable, preferably a business related discipline
  • Experience in managing complex projects and initiatives by selecting the appropriate method and techniques to obtain solutions within existing company processes and operational policies.
  • Good interpersonal and relationship building skills.
  • Excellent analytical and problem-solving skills.
  • Discretion and the ability to handle confidential information professionally.
  • Demonstrated ability to prioritize competing demands and maintain attention to detail in fast-paced environments.
  • High level of emotional intelligence, adaptability, and resilience.
  • High level of proficiency in MS Office (Word, Excel, PowerPoint) and data analysis, synthesis, and presentation.
  • Excellent standard of written and spoken English.

Responsibilities
  • Key responsibilities:


    • Provide guidance to the site leadership team on various organizational and operational issues.

    • Manage key processes such as purchasing and invoice management and the management of suppliers and service providers.
    • Ensure accurate and robust record keeping to evidence compliance with all legal requirements.
    • Responsible for managing and coordinating on site activity as required and directed by the Health & Safety advisor, including record keeping.
    • Responsible for onboarding all employees, contractors and service provided workers.
    • Manage and oversee key company initiatives, ensuring alignment with the overall business strategy.
    • Coordinate cross-functional projects and initiatives, partnering with department heads to ensure alignment with overall objectives.
    • Develop and manage operational initiatives to deliver tactical results.
    • Support leadership with their administrative and operational needs, while managing change initiatives to align with organizational objectives.
    • Execute operational and governance activities for the site, including key forums and staff meetings.
    • Recommend changes to process and procedures that affect the site and provide decision-making support through analysis and recommendations.
    • Support site leadership to manage crisis situations effectively and efficiently.
    • Responsible for the line management of the site admin and support team.

    • Executive Communications:


      • Prepare executive presentation materials for internal forums, public meetings, and events.

      • Develop and manage key internal and external communications in partnership with Communications and other relevant teams.
      • Serve as the primary point of contact for external stakeholders.

      • Operational Support:


        • Develop effective partnerships with business partners and stakeholders across the company (Operations, Purchasing, Finance, Legal, HR, UR, Marketing, Engineering, etc.).

        • Manage day-to-day operational activities and implement organizational policies.
        • Develop and manage operational initiatives to deliver tactical results.
        • Translate functional plans into operational processes and guides execution.
        • Actively participate in recruitment panels to ensure the business fully evaluates each candidate and we make effective and evidence based hiring decisions.

        • Leadership:


          • Facilitate a high-performance culture that enables employees to take effective action and demonstrate ownership for processes and administration within their area of responsibility.

          • Forward looking: anticipate problems and implement pragmatic solutions.
