The Manager, Clinical Operations serves as a strategic partner to the CMO, CNO, and National Medical Officer, providing high-level operational, administrative, and project management support. This role is responsible for optimizing executive workflows, driving cross-functional initiatives, and ensuring seamless coordination across the Office of the CMO and broader organization. The position requires exceptional organizational skills, discretion, and the ability to manage complex priorities in a dynamic environment. Essential Functions and Work Responsibilities Strategic Project & Performance Management Lead and support strategic initiatives, collaborating with project leads and stakeholders to drive participant-centered care improvements across multiple centers. Coordinate and reschedule subject matter expert (SME) interviews, proactively communicating with stakeholders to ensure participation. Capture and distribute detailed meeting minutes, maintaining documentation quality and project transparency. Collaborate with other departments to enhance meeting effectiveness, structure, and outcomes. Support employee engagement and appreciation efforts, contributing to a positive workplace culture. Submit purchase orders and manage procurement processes to support operational efficiency. Assist cross-functional teams with logistics for onsite and offsite meetings. Survey & Data Management Collaborate with quality teams to design, deploy, and analyze surveys tailored to project goals. Develop targeted distribution strategies and communication plans to maximize participation. Deliver training on survey creation, accessibility, and data privacy best practices. Provide real-time support and resources to reinforce learning and operational improvements. Executive Administrative & Operational Support Serve as the primary point of contact for internal and external stakeholders on all matters related to the CMO, CNO, and Regional Medical Officer. Manage an extremely active calendar, including scheduling, coordinating meetings, conference calls, and executive events in Microsoft Outlook and Teams. Organize, prioritize, and summarize incoming communications, requests, and meeting materials. Draft, format, edit, and proofread correspondence, documents, presentations, and organizational charts. Conduct research and analyze data for executive communications and presentations. Coordinate complex travel arrangements and itineraries for the CMO, CNO, Regional Medical Officer and senior leadership. Oversee credit card reconciliations, mileage, and expense reports, ensuring timely processing and budget adherence. Supervise and mentor Practice Managers, including quality support for the East, fostering a culture of collaboration and excellence. Initiate and communicate department meetings, prepare agendas, take minutes, and follow up on action items. Maintain formal and informal working relationships to execute directives from the CMO, CNO, and Regional Medical Officer. This includes overseeing Practice Managers as direct reports. Support external committee appointments and Board-related activities as needed. Technology & Collaboration Tools Leverage Microsoft Teams, CoPilot, and Word for collaborative notetaking, document sharing, and centralized access to project materials. Work Experience and Qualifications Minimum of six (6) years of experience supporting senior/executive staff and Board of Directors. Demonstrated ability to exercise sound judgment, manage multiple priorities, and work independently. High degree of personal integrity and strong interpersonal skills. Exemplary business writing, editing, and verbal communication skills. Intermediate to advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Visio, Access).
