THE ROLE The Manager, Facilities is responsible for the planning, operation, and continuous improvement of the Edmonton Humane Society’s facility and related infrastructure. This position ensures the organization’s buildings, systems, and grounds are safe, reliable, and effectively support daily operations, staff, volunteers, visitors, and animal care activities. Reporting to the Director, Shared Services, this role leads the Facilities team and contributes to long-term facilities planning, preventative maintenance programs, capital improvement recommendations, and responsible financial management of facilities-related resources. KEY ROLES & RESPONSIBILITIES Facilities Operations & Maintenance •    Manage the day-to-day operation, maintenance, and repair of the EHS facility and surrounding grounds, including offices, adoption areas, veterinary and animal care spaces, warehouse, training areas, parking lots, and outdoor dog parks. •    Ensure building systems and infrastructure (mechanical, electrical, plumbing) are maintained in a safe, reliable, and operational condition. •    Establish standard operating procedures for maintenance work to ensure repairs meet organizational expectations for quality and durability. •    Respond to facility issues and coordinate timely resolution, minimizing disruption to staff, volunteers, visitors, and animal care operations. •    Manage motorized equipment and facility tools to ensure safe operation and reliability. •    Ensure facilities operations support animal care environments, including sanitation, environmental conditions, and reliability of animal housing and medical spaces. •    Identify opportunities to improve facilities processes, maintenance practices, and operational efficiency. Preventative Maintenance & Asset Management •    Develop, implement, and maintain a comprehensive preventative maintenance program for building systems, infrastructure, and facility assets. •    Establish and maintain an organized inventory and documentation system for facility assets, equipment, and building systems. •    Manage and oversee the facilities work order system to ensure service requests are documented, prioritized, assigned, and completed in a timely manner. •    Maintain organized inventory of facilities supplies, parts, and tools to support preventative maintenance and timely repairs. •    Track and monitor maintenance activities, asset condition, and recurring issues to identify trends and inform future planning. Facilities Planning & Capital Improvement •    Develop short- and long-term facilities plans that support operational needs and the organization’s strategic direction. •    Lead multi-year maintenance and capital improvement planning, including lifecycle planning for building systems and infrastructure. •    Identify emerging facility risks, infrastructure needs, and improvement opportunities, providing clear recommendations to the Director, Shared Services. •    Support planning and coordination of facility upgrades, renovations, and capital projects. •    Promote a proactive facilities management approach that prioritizes preventative maintenance, planning, and long-term infrastructure reliability. Contractor & Vendor Management •    Identify, select, and manage external contractors and service providers required to support facility operations. •    Obtain quotes, evaluate pricing and service quality, and ensure responsible use of organizational resources. •    Oversee contractor work to ensure projects are completed safely and to expected quality standards. •    Maintain productive vendor relationships and ensure service agreements and work expectations are clearly communicated. Team Leadership & Work Planning •    Lead, coach, and support the Facilities team to ensure work is organized, prioritized, and completed effectively. •    Establish clear work plans and priorities for the team to support preventative maintenance, operational needs, and facility improvement work. •    Promote an organized, safe, and efficient work environment within the facilities shop and storage areas. •    Encourage strong documentation, communication, and teamwork within the facilities function. Administration •    Support the development of the facilities operating budget and provide input into capital planning. •    Plan and manage facilities expenditures responsibly, prioritizing preventative maintenance, lifecycle planning, and cost-effective solutions. •    Monitor spending related to facilities operations and identify opportunities to improve efficiency and long-term cost management. EDUCATION & REQUIREMENTS •    Diploma or certificate in Facilities Management, Project Management, Business Administration, or a related field; equivalent experience will be considered. •    Minimum 3 years of experience in a supervisory role within facilities or operations management. •    Strong working knowledge of building systems, including HVAC, electrical, plumbing, and general maintenance. •    Proven ability to manage projects from initiation to completion, including planning, budgeting, scheduling, and risk management. •    Experience developing or managing preventative maintenance programs for building systems and infrastructure. •    Experience managing external contractors and service providers, including obtaining quotes, evaluating pricing, and overseeing work quality. •    Proficiency with Microsoft Office Suite (Word, Excel, Teams); familiarity with computerized maintenance management systems is an asset. •    Valid driver’s licence and ability to work safely in both office and facility/outdoor environments.
