Department: HKUST Fok Ying Tung Graduate School Job Posting Details The HKUST Fok Ying Tung Graduate School (FYTGS) is the university-wide office to oversee the entire administrative scope for postgraduate (PG) education. It partners with academic units and other stakeholders to ensure consistent policy and quality control over all PG programs. This includes coordinating student recruitment and admissions, as well as providing all-round oversight on PG students’ qualifications, graduation, and other areas related to PG affairs. The appointee will be responsible for a range of administrative duties in regard to the oversight and support of PG education. Major duties include: Serving as a coordinator to liaise with various internal and external stakeholders on matters concerning postgraduate education; Providing secretarial support to committees including vetting of proposals, preparing meeting papers, and following through the implementation of decisions made by the committees; Overseeing the administration of the Hong Kong PhD Fellowship Scheme (HKPFS), Future Talents Scholarship Scheme for Advanced Studies (FTSS) and other funding schemes for postgraduate students, including the disbursement of stipends and tuition fee waivers, review of conference travel grant applications, reporting to the University Grants Committee (UGC), etc. Overseeing the administration of postgraduate studentship and other awards; Developing, maintaining and monitoring the database for the funding schemes and the awardees; Supporting new funding initiatives and events for funding schemes; Supervising and coaching junior staff where appropriate; Performing other duties as assigned Applicants should have a bachelor’s degree with at least 7 years of work experience, preferably in the higher education sector. The appointee should possess good communication skills (in written and verbal English, Cantonese and Putonghua), strong interpersonal and problem-solving skills, and be highly attentive to details. The appointee is expected to be proactive, thorough, user-oriented and solution-focused. He/she should also be able to work independently in a dynamic working environment. Shortlisted candidates will be invited for an interview and a written test. (Duration: 2 years) This UGC post is a full-time appointment on a 2-year contract, renewable subject to mutual agreement. Starting salary will be commensurate with qualifications and experience. Fringe benefits including annual leave, medical and dental benefits will be provided.
