  • Proven success in coordinating special events and rentals.
  • Strong event planning capabilities, including the ability to design, manage, and execute events of varying size and scope.
  • Availability to work evenings and weekends for events is required.

Responsibilities
  • Plan and manage all aspects of Museum-hosted events—including receptions, fundraisers, galas, and cultivation events—including budgeting, logistics, vendor coordination, staffing, and on-site execution.
  • Collaborate with the advancement team to align event strategies with broader fundraising goals, identifying and maximizing partnership and sponsorship opportunities.
  • Coordinate and provide high-level, on-site support for private event rentals, such as weddings, rehearsal dinners, and birthday parties, ensuring a professional and seamless experience for clients and guests.
  • Manage all aspects of rentals from inquiries, bookings, walkthroughs, and event planning;
  • Work directly with caterers and event planners to successfully book rentals, overseeing each event from beginning to end; and
  • Work with museum colleagues to ensure adequate staffing is scheduled for all rentals/events;
  • Coordinate rental set up/breakdown with Museum staff, and caterers/planners;
  • Act as liaison between the Museum and the renter and represent the Museum in a positive and effective way; and
  • Be present at rentals to ensure they run smoothly and to troubleshoot any issues that arise.
  • Promote/advertise availability of Museum space.
  • Keep up-to-date inventory of museum’s rental property (chairs, tables, serving ware, etc.) and make replacements/additions when/if necessary.
  • Ensure compliance with all event permitting, insurance, and safety requirements.
  • Support efforts to develop and implement annual budget and revenue goals for rentals.
