The opportunity Are you ready to make your mark as part of the Office Operations Manager in our Melbourne office? Our Office Operations team is at the heart of ensuring the smooth and efficient functioning of the Firm’s day-to-day operations. Our team manages the infrastructure, systems and services —both globally and locally—relating to our office workplaces, onsite and remote operational services, security, safety and a range of other areas. We provide PA support and manage document production, translation and travel services. Our team is responsible for our client-facing areas across the Firm, always seeking to ensure that clients and other visitors have an experience that is world-class. We also take the lead in running our day-to-day operations in the most environmentally sustainable way possible. Key Responsibilities Premises & Lease Management: Manage office space, leases, moves, expansions, and compliance with global guidelines. Vendor & Landlord Relations: Act as main contact for landlords and vendors, overseeing contracts and resolving issues. Financial Oversight: Handle payments, budgets, spending levels, and variance analysis for all property and workplace activities. Facilities & Security Management: Maintain office equipment, furniture, repairs, office hardware and security systems. Environmental Sustainability: Ensure sustainability compliance, maintain dialogue with property management, lead initiatives, and report on emissions. Risk & Assurance: Maintain safety standards, oversee insurance, and manage emergency plans, business continuity and support incident response. Service Delivery & Team Management: Lead and manage operations staff (Practice Assistants, Guest Services, Facilities, etc.), ensure world-class guest services and manage outsourced service providers. Operational Processes & Collaboration: Oversee onboarding, collaborate with HR and Global Mobility on relocations, secondments, and oversee mail, files, archiving, waste handling, and coordinate with global operations teams on new initiatives and shared services. Events, Social Responsibility & Projects: Organise social events, manage budgets, run social programs for the office, coordinate with global events teams and handle special projects. The skills and attributes we are looking for Minimum 5 years’ experience in office management with staff supervision. Professional services background required, experience working with partnerships. Proficient with common software and quick to learn new systems. Hands-on, proactive approach to getting things done. Strong organisational and multitasking skills. Effective at supervising staff and maintaining operations. Composed under pressure, with sound judgment and integrity. Builds strong relationships and negotiates well with stakeholders.
