SKILLS & CAPABILITIES

  • Possess a high level of interpersonal skills, ability to communicate effectively with diverse group of stakeholders including employees, volunteers and the general public.
  • Demonstrated working knowledge of multiple people resource functions in a non-profit environment preferred.
  • Strong research and networking skills.
  • Ability to initiate, develop and implement strategies.
  • Able to build and maintain lasting relationships with line departments and key external stakeholders.
  • Strong problem identification and problem resolution skills.

  • Proficiency with volunteer management software and/or databases (preferred).

  • Crisis management or conflict resolution skills.

Administration

  • Organize and prioritize work requirements for staff, ensuring tasks and duties are delegated appropriately.
  • Assist with day-to-day Volunteer Resources administration when required (i.e. vacation coverage, Christmas).
  • Meet with the Department for dynamic scheduling of Volunteers to meet operational requirements.
  • Approve the department’s payroll on a bi-weekly basis.
  • Ensure applicable administration and supervisory functions defined in the Calgary Food Bank’s policies are completed, i.e., performance evaluation, job descriptions and management of ADP approvals.
  • Allocate and track Volunteer Resources department budget
Responsibilities

WHAT YOU’LL DO

Program Development and Strategic Planning

  • Design and implement a comprehensive volunteer program aligned with the Calgary Food Bank’s strategic goals.
  • Develop volunteer policies, procedures, processes and standards of service.
  • Develop KPIs for the Volunteer Associates that support the Calgary Food Bank’s annual business plan and strategic growth.
  • Strategic planning of volunteer program regarding growth, retention, attrition, and reactivation to meet the needs of the Calgary Food Bank.

Leadership

  • Manage and coach the Volunteer Associates.
  • The day-to-day management of volunteer resources across all departments.
  • Address employee-volunteer concerns and mediate conflicts as necessary.
  • Ensure both staff and volunteers are in compliance with the Calgary Food Bank’s policies and procedures.

Administration

Recruitment, Onboarding and Retention

  • Manage the Volunteer recruitment, onboarding and retention functions.
  • Coordinate volunteer orientation sessions and provide training as needed.
  • Match volunteers to roles based on skills, interests, and organizational needs.
  • Develop and implement volunteer recognition programs and events.
  • Collect feedback from volunteers to improve the program and ensure satisfaction.
  • Research and identify volunteer job fairs the Calgary Food Bank can participate in throughout the year.

Community Outreach

  • Promote volunteer opportunities through various channels (social media, events, community outreach, etc.).
  • Build partnerships with schools, universities, corporations, and community groups to attract volunteers and promote the Calgary Food Bank in the community.
  • Participate in Community networking within Calgary not-for-profit community and attend quarterly Community Volunteer Manager meetings.

Reporting & Evaluation

  • Track volunteer metrics and generate reports for internal and external stakeholders.
  • Evaluate the impact of volunteer contributions and make recommendations for improvements.
  • Management and evaluation of the Volunteer Program for organizational needs

Health and Safety

  • Participate and develop policies that contribute to the Health and Safety of all persons accessing and working at the Calgary Food Bank in conjunction with the Health and Safety Coordinator.
