Description
We’re looking for an Virtual Assistant who is fluent in Mandarin and English to support leadership with day-to-day operations, scheduling, communication, and coordination across teams and partners. This role is ideal for someone highly organized, detail-oriented, and comfortable acting as a communication bridge across languages and time zones. You will support executives with calendar management, documentation, research, and follow-through, while helping keep workflows moving smoothly. Experience supporting real estate, property management, development, or investment teams is strongly preferred, but not required. This is a hands-on role for someone who operates proactively, manages details without being asked, and brings structure to fast-moving environments. Why You’ll Want to Join You will be paid in USD (bi-monthly: every 15th and 30th) Up to 14 days of Paid Time Off annually (starting Day 1) Observance of Holidays per company guidelines 100% remote setup so you can work wherever you feel most productive Work directly with founders and senior leadership High-trust role with visibility into operations and decision-making What You’ll Work On Executive and Administrative Support Manage calendars, meetings, and scheduling across multiple time zones Handle travel planning, document organization, and meeting follow-ups Prepare summaries, reports, and briefing documents for leadership Maintain confidentiality and handle sensitive information with discretion Bilingual Communication and Coordination Serve as a liaison between English- and Mandarin-speaking partners, clients, or vendors Translate and summarize emails, documents, and messages as needed Support cross-border coordination with teams, service providers, or stakeholders Assist with scheduling and communication for international meetings or negotiations Operations and Workflow Support Keep internal files, trackers, and documentation organized and up to date Support task tracking, reminders, and follow-through on executive priorities Assist with vendor coordination, invoices, and basic operational workflows Help improve systems and processes to reduce friction and delays Research and Project Support Conduct research using both English and Mandarin sources Support real estate-related research such as properties, vendors, markets, or documentation when applicable Assist with presentations, proposals, and document formatting Maintain contact lists, databases, and internal trackers What You Bring Fluency in Mandarin Chinese and English, written and spoken 3+ years of experience as an Executive Assistant, Virtual Assistant, or Operations Coordinator Strong organizational skills and attention to detail Clear, professional communication style across written and verbal channels Ability to work independently, prioritize tasks, and manage multiple responsibilities Comfort using tools such as Google Workspace, Notion, Slack, or similar platforms Nice to Have Experience supporting real estate, property management, development, or investment teams Background working with international or cross-border businesses Familiarity with tools like WeChat, WhatsApp, Lark, or Telegram for business communication Experience coordinating with vendors, brokers, or external partners How to Apply Please include: Your updated resume highlighting bilingual experience and EA or operations roles A short 1–2 minute Loom video introducing yourself and briefly speaking in both English and Mandarin Only candidates who submit a Loom video will be considered.
