As an integral member of the Pinkowski Wealth Management team, the Marketing & Administrative Assistant provides vital support in both marketing and administrative capacities. This role plays a key part in executing marketing strategies, managing client communications, coordinating events, and maintaining our digital presence. In addition, you’ll support daily operations through calendar management, client onboarding, data entry, and general administrative tasks, helping ensure the team runs efficiently and effectively.

Skills & Qualifications:

  • Experience of 2 + years within the banking, brokerage, or wealth management industry strongly preferred;
  • Experience in a marketing role strongly preferred;
  • Event planning experience an asset;
  • Experience with Canva, Adobe Creative Cloud, and/or video editing applications an asset;
  • Experience with Salesforce and/or Dataphile an asset;
  • Proficient with MS Office (Word, Excel, Outlook, PowerPoint);
  • Detail oriented with strong organizational skills;
  • Ability to prioritize and excel under pressure;
  • Demonstrated ability to meet deadlines, take initiatives and multi-task;
  • Excellent teamwork skills complemented by the ability to work well independently;
  • Strong customer service skills;
  • Excellent verbal and written communication skills complemented by exceptional interpersonal skills;
  • Excellent IT & computer skills, knowledge in basic website updates an asset;
  • Demonstrated interest in investment products, with previous similar work experience an asset.

Responsibilities:

  • Lead all marketing initiatives;
  • Develop and build upon existing marketing strategies for radio, print, digital and TV;
  • Maintaining social media presence and updating website;
  • Provide day-to-day administrative support to the Portfolio Manager and Associates;
  • Prepare or assist in the preparation of business correspondence, presentations, reports and spreadsheets;
  • Assist with maintaining various databases, records and other documents including new client accounts;
  • Perform general client servicing and administrative duties;
  • Servicing clients with professionalism, efficiency and upholding confidentiality;
  • Coordinate travel arrangements and process related expenses;
  • Coordinate business meetings and write minutes as required;
  • Process expense reports and invoices in a timely manner;
  • Process and follow-up on client documentation for proper maintenance of accounts;
  • Maintain accurate and up-to-date client records, including financial and personal information;
  • Assist with special projects as required.
