The Marketing & Administrative Operations Coordinator will play a key role in supporting sales, marketing, and operations, while also assisting the privacy solutions team. This role is ideal for someone who is efficient, detail-oriented, curious, and open to coaching.

Marketing & Administrative Operations Coordinator responsibilities:

  • Support Marketing Manager to maintain and execute marketing calendar and initiatives
  • Prepare news updates, announcements, and formatting of marketing materials
  • Support sales and marketing efforts, including presentations, templates, and scheduling meetings or calls
  • Draft and post content for social media, email marketing, and client communications
  • Manage lead responses, client invoicing, contract questions, and update requests
  • Organize and maintain digital files, shared drives, and data management systems
  • Coordinate logistics for tradeshows, conferences, and events, including collateral, swag, suppliers, and shipping/receiving
  • Maintain CRM data, ensuring accuracy and regular clean-up
  • Answer incoming calls and direct them to the appropriate department
  • Assist subject matter experts and the privacy team in creating resource documents, historical data templates, and LMS presentations
  • Assist team members with IT issues, escalating to the external IT provider as needed
  • Help prepare simple graphics or source images for marketing posts (if design experience exists)
  • Handle ad hoc administrative support as required

The successful candidate has:

  • 2–4 years of experience in an administrative, operations, or marketing support role
  • Post-secondary education in business, marketing, or a related field (or equivalent experience)
  • Strong organizational and multitasking skills with the ability to prioritize effectively
  • Comfort with data management, CRM tools, and Microsoft Office Suite/Google Workspace
  • Excellent written and verbal communication skills
  • A proactive, adaptable, and collaborative approach, with a sense of humor and willingness to ask questions

Compensation and benefits:

  • Salary range: $70,000 – $75,000, plus cost-of-living annual raises and performance-based raise
  • Comprehensive benefits package (available after 3-month probation)
  • 3 weeks’ vacation plus an additional paid week off at Christmas
