Description

The Marketing Automation & Operations Manager is responsible for building, managing, and optimizing the marketing systems that power lead generation, conversion, onboarding, and member engagement. This role exists to scale our revenue-driving campaigns—particularly webinars, evergreen funnels, virtual events, and community-based acquisition channels—by eliminating inefficiencies and automating manual processes across the funnel.
This person serves as the executional backbone of the marketing team, ensuring that all systems, from email to funnels to webinar platforms, are fully integrated, automated, and functioning with precision. They will manage campaign setup, platform integration, automation workflows, attribution tracking, and webinar operations across a connected tech stack.
The role translates strategic initiatives into scalable execution by connecting and maintaining tools such as ClickFunnels, Stripe, ActiveCampaign, Zapier, Zoom, StreamYard, SlickText, and more. Their work ensures every campaign launches on time, communicates accurately, and is tracked in real time.
Ultimately, this role enables our marketing, sales, and customer success teams to execute faster, collaborate more effectively, and grow revenue with complete confidence in the systems behind every campaign.

REQUIRED SKILLS AND EXPERIENCE

  • 5+ years of hands-on experience in marketing operations, digital marketing, or marketing automation roles
  • Proven experience using ActiveCampaign to build automations, manage tags, create segments, and deploy email campaigns across the full customer lifecycle
  • Skilled in ClickFunnels, with the ability to build, test, and manage landing pages, registration pages, upsells, and complete funnel flows
  • Demonstrated experience managing live and evergreen webinars using Zoom, StreamYard, AddEvent, and eWebinar, including registration, reminders, and post-event follow-ups
  • Working knowledge of Stripe, including creating products, managing payments, and integrating with CRM and automation tools
  • Experience using Mobile Text Alerts and text systems to automate SMS sequences, manage broadcast campaigns, and integrate with marketing flows
  • Familiarity with SlyBroadcast for scheduling voicemail drops and supporting funnel engagement strategies
  • Proficient in Zapier, with the ability to build and troubleshoot multi-step automations that connect tools like ClickFunnels, Stripe, ActiveCampaign, and webinar platforms
  • Strong understanding of UTM tracking, campaign attribution, and the ability to manage tracking documentation in Google Sheets or Airtable
  • Comfortable collecting and analyzing performance data related to webinar attendance, funnel conversions, email engagement, and retention KPIs
  • High attention to detail with strong QA and troubleshooting skills across connected marketing systems
  • Organized and deadline-driven, with experience supporting campaign timelines, coordinating moving pieces, and documenting workflows
  • Familiarity with member-based platforms, lifecycle marketing, and subscription or digital education business models

Responsibilities
  • Build and Maintain Automated Marketing Workflows

Design, implement, and audit automation sequences across platforms like ActiveCampaign, Mobile Text Alerts, Zapier, and additional company platforms. Automations should support both lead nurturing and full customer lifecycle flows - such as acquiring new customers, onboarding new members, re-engagement campaigns, upsells, renewal reminders, and product access sequences. All workflows must be tested for logic, timing, and deliverability to ensure consistent communication without manual intervention.

  • Manage Webinar Operations and Technical Setup and Execution

Handle the complete backend setup for weekly live and evergreen webinars. This includes coordinating webinar registration pages, confirmation and reminder emails, text messages, attendance tracking, and post-event follow-up automations using tools like StreamYard, Zoom, AddEvent, and eWebinar.

  • Ensure Full Funnel Integration Across All Campaigns

Maintain and optimize backend connections across all marketing systems, including ClickFunnels, Stripe, ActiveCampaign, Mobile Text Alerts, Zoom, and additional company platforms. Ensure data flows properly between systems, that all user actions (registrations, purchases, cancellations, upgrades) trigger the correct responses, and that tracking and tagging remain accurate throughout the entire customer lifecycle - from lead to long-term member.

  • Maintain a Centralized Tracking and Attribution System

Create and manage a clear system for campaign links, UTM parameters, and conversion tracking. Use tools like Google Sheets or Airtable to ensure all campaign URLs are documented, monitored, and properly attributed across email, text, ads, and funnels.

  • Quality-Assure Funnel Execution and Campaign Launches

Before each campaign goes live, test every stage of the funnel and marketing systems, from opt-in to checkout to confirmation, to ensure automations trigger as intended, data is captured correctly, and all messaging aligns with the customer journey. Confirm that all email and text reminders are scheduled properly, payment flows are functional, tagging is accurate, and follow-up sequences are firing based on user actions.

  • Assist with Landing Page and Sales Page Builds

Support the setup of marketing and sales pages using tools like ClickFunnels. Ensure timers, opt-in forms, embedded videos, Stripe payment links, and tracking pixels are installed and functioning as required by each campaign.

  • Coordinate Executional Details for Launches and Free Classes

Work with the marketing team to prepare launch timelines and execute tasks related to email scheduling, automation testing, mobile alerts, and funnel links for each webinar or class series. Maintain visibility on all moving parts to ensure on-time delivery.

  • Manage CRM Organization, Automations, Tagging, and Segmentation

Ensure that all leads, free trial users, active members, and churned customers are accurately tagged and segmented in ActiveCampaign based on behavior, campaign interaction, and purchase activity. Maintain a clear automation structure that supports targeted follow-ups, onboarding sequences, retention messaging, and performance reporting. Regularly audit contact records to maintain list hygiene and reduce automation errors.

  • Monitor and Optimize Tech Stack Performance

Continuously monitor the performance of all platform integrations, automations, and campaign systems, especially those supporting onboarding, upsells, and member engagement. Troubleshoot and resolve errors quickly, perform regular QA checks, and escalate issues when needed. Proactively identify opportunities to simplify workflows, improve reliability, and enhance the overall marketing tech stack in support of both acquisition and retention.

  • Support Reporting and Data Collection for Revenue Tracking

Assist in collecting and organizing key marketing and lifecycle performance metrics, including webinar attendance, funnel conversions, trial-to-paid upgrades, active member engagement, churn rates, and email/text performance. Consolidate this data into dashboards or weekly reports to support the Director of Revenue & Growth in evaluating campaign effectiveness and identifying opportunities for optimization across the customer journey.
