Description POSITION SUMMARY The Marketing Coordinator plays a central role in planning, executing, and supporting all company events, location branding, and marketing operations. This individual is highly organized, detail-oriented, and thrives in a fast-paced environment where they balance multiple priorities. They work both independently and collaboratively, anticipate problems before they occur, and ensure a consistent brand experience across all touchpoints. POSITION RESPONSIBILITIES Events Management Own end-to-end event coordination for trade shows, conferences, and internal company events — including venue research, contract negotiation, vendor management, scheduling, logistics, and setup/teardown Develop and maintain a master events calendar and best-practice playbook to ensure consistent, professional event execution Manage event budgets; track expenses, process invoices, and reconcile actuals against budget post-event Create and manage a trade show lead capture and post-event follow-up process to accurately track ROI from event participation Promote events through appropriate internal and external channels, including social media platforms such as LinkedIn and Facebook, to drive attendance Signage & Location Branding Coordinate the design, production, and installation of signage for all company locations, ensuring brand consistency and quality Maintain an up-to-date inventory of all signage assets, including location, condition, and replacement schedule Partner with vendors to source and fulfill signage orders; manage timelines and approvals Support rebranding initiatives or new location openings with signage planning and execution Company Store & Branded Merchandise Manage the company-branded merchandise store, including vendor relationship, product selection, pricing, inventory levels, and fulfillment coordination Ensure branded merchandise aligns with current brand standards and is replenished proactively Coordinate distribution of branded materials for events, employee onboarding, and promotional campaigns Marketing Expenses & Budget Support Track, code, and reconcile all marketing department expenses on a monthly basis Process vendor invoices and purchase orders; serve as liaison between the marketing team and finance Assist with budget forecasting and prepare expense reports for the Senior Marketing team Manage vendor co-op programs by coordinating documentation and submissions with product teams Collateral, Campaigns & General Marketing Support Maintain and update marketing collateral; evaluate relevance and coordinate reprints or redesigns with vendors or the internal team as needed Coordinate and track all exhibition materials, promotional items, and printed assets, ensuring accurate inventory and proper storage Support the Senior Marketing team in launching and promoting new products and solutions Prepare PowerPoint presentations and supporting documents for meetings and sales initiatives Maintain the annual marketing/sales calendar and communicate key dates to relevant stakeholders Perform administrative duties as needed to support marketing operations Stay current with industry trends by participating in training opportunities and reading trade publications Undertake other duties as assigned by the Senior Marketing team ORGANIZATIONAL COLLABORATION Strategic Sourcing Internal Marketing Team Members Inside / Outside Sales Team Finance Department Marketing Outsourced Vendors & Signage Suppliers Facilities / Operations Teams (for location signage coordination) Requirements POSITION REQUIREMENTS Education & Experience 5 years of experience in marketing, event coordination, or a related field Experience managing vendor relationships, budgets, and multi-stakeholder projects B2B marketing experience a plus Skills & Competencies Strong organizational skills with a track record of managing multiple projects simultaneously and meeting deadlines Excellent verbal and written communication skills; able to work effectively with both business and creative teams Experience with event management, trade show logistics, and post-event reporting Familiarity with print production and signage processes preferred Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Experience with project or event management tools (e.g., Asana, Monday.com, or similar) a plus Ability to manage budgets, track expenses, and produce clear financial summaries Self-motivated and capable of independent follow-through with minimal supervision Maintains professional attendance, punctuality, and personal appearance Results-oriented with strong attention to detail
