POSITION OVERVIEW
Kefalas Commercial Real Estate is seeking a reliable, detail-oriented, and proactive individual to join our team in a contract position as Marketing & Admin Coordinator. This is a dynamic and varied role combining administrative coordination, digital marketing oversight, appointment setting, and CRM management. You will help manage systems and marketing processes that support a growing commercial real estate and business brokerage practice serving Vancouver Island and Calgary.
Key Responsibilities1. Marketing & Content Oversight
- Coordinate and supervise a freelance digital marketing contractor for tasks beyond your capacity (e.g., advanced design, ad creation, web updates).
- Review and approve the contractor’s work to ensure quality and alignment with company standards.
- Manage monthly e-newsletter production, including:
- Up to 6 property or business listings (Just Listed, Sold, For Lease, Wanted).
- A blog post or update.
- Market statistics and embedded lead capture forms.
- Assist in creation and coordination of:
- Listing flyers (1–2 pages), brochures, and mailers.
- Listing videos and short-form content (e.g., Instagram Reels).
- Social media posts across LinkedIn, Instagram, Facebook, and YouTube.
- Administrative Support
- Upload and manage property and business listings on:
- Matrix
- Skyslope
- LoopNet
- Spacelist
- Venture Connect
- Organize mail-outs including address label creation and coordinating print orders.
- Book and manage professional photography and video services.
- Regularly update website content and imagery in line with our commercial real estate focus.
- CRM & Client Communication
- Maintain CRM with up-to-date contact records, lead status, and client notes.
- Track leads through the sales pipeline and monitor engagement.
- Coordinate quarterly mailings and digital flyers.
- Manage and segment email lists for targeted campaigns.
- Appointment Setting & Referral Development
- Set appointments with:
- Business or property owners interested in selling or leasing.
- Referral partners open to sending qualified leads.
- Earn a bonus per qualified appointment set with either group.
- Maintain consistent follow-up and tracking of referral partner activity.
QUALIFICATIONS
- Experience or strong interest in marketing, administration, or real estate preferred.
- Excellent communication, organizational, and time management skills.
- Ability to supervise and manage third-party contractors effectively.
- Basic design, tech, and copywriting skills (Canva, email platforms, social media).
- Familiarity with CRM software, email marketing tools, and real estate listing platforms is a strong asset.
- Self-starter who is proactive, reliable, and able to work independently from a remote location.
COMPENSATION
- Starting Rate: $20 to $25/hour (contract)
- Raises:
- +$1.00 to $2.50/hour every 3 months until reaching $30/hour
- After reaching $30/hour: Annual raise of 3.5%
- Bonus Structure:
- $25 to $150 per qualified appointment with:
- A business/property seller or landlord seeking a valuation or considering a listing.
- A referral partner who formally agrees to refer our services.
