Position Summary HCPA is a Title I Charter School that serves students through a schoolwide instructional plan focused on the needs of at-risk students. The Marketing & Enrollment Outreach Coordinator performs a wide variety of administrative duties in support of the staff of an assigned department, such as greeting visitors, attending marketing/social events, managing phones, responding to inquiries, drafting correspondence, scheduling appointments, assisting administration with student registration, organizing and maintaining paper and electronic files, etc. Responsibilities Assist with external marketing efforts and community outreach events, including activities at Hmong Town, Hmong Village, community gatherings, poster distribution, and other related tasks. Maintain and increase the annual student population to support school marketing and enrollment goals. Assist with ongoing external parent and student outreach to strengthen relationships with current families and maintain long-standing partnerships. Support the management of registration, enrollment, and marketing spreadsheets and related data. Serve as a liaison between parents and the school, helping facilitate clear communication. Collaborate with families externally to develop new prospects and leads to support growth in enrollment, academics, social-emotional development, and family engagement. Help develop and implement marketing initiatives and contribute to annual marketing plans. Promote parental involvement and engagement through school activities such as PTO, PEA, school functions, and related programs. Support families in participating in classroom activities and school-wide events and activities as needed. Conduct or assist with home visits to support family engagement when appropriate. Schedule parent meetings with school administrators when needed. Respond to parent and community inquiries and provide basic information regarding school procedures and events as needed. Maintain strict confidentiality regarding student and family information. Provide support to other school departments as needed. Perform additional related duties as assigned. Registration and Events Assist the Registration Office with student enrollment Support school events, including: ? Staying after school hours to ensure events run smoothly and effectively? Plan outreach/recruitment; attend upcoming events/activities that occur after school hours.? Collect data on event success and report to the admin team and the leadership team? Disseminate flyers related to school events/activities. Marketing/Outreach (external) Give tours to families and students when needed Community Outreach & Recruitment Attend community events, festivals, school fairs, and outreach opportunities to promote HCPA. Serve as an ambassador for the school, sharing information about programs, enrollment opportunities, and student services. Build relationships with community organizations and local partners Distribute marketing materials and answer questions from prospective families. Accountabilities Supports school goals and objectives that are consistent with HCPA's vision, mission, and values. Participates in creating a culture of excellence, teamwork, and collaboration amongst the staff, teachers, students, and families; a culture that is positive, open to the views of others, and uses social skills to resolve conflicts. Establishes and maintains effective and cooperative relationships with students, parents, teachers, and other school staff. Responds promptly and appropriately to the needs of parents, students, and staff. Maintains strict confidentiality regarding students and the educational setting. As a School Representative, you serve as a visible ambassador of the school within the community. Individuals in this role are expected to maintain professionalism, good judgment, and respectful conduct both during work hours and outside of work when representing or being associated with the school. Maintaining composure and positive behavior helps ensure trust with families, community partners, and prospective students Engagement Activities Required activities: All marketing and enrollment events Fall and Spring Parent /Teacher Conferences, when needed Kindergarten Round-up/Enrollment Night New Student Open House and Student Orientation Other events as needed Requirements Required Qualifications An associate's degree or related experience can be taken into consideration Ability to work in a cooperative and collaborative learning environment. Knowledge of computer operation, applications, data entry, and retrieval. Knowledge of office procedures, practices, and policies. Knowledge of first aid procedures. Ability to work under pressure, completing work in an accurate manner while meeting conflicting deadlines and schedules, which are often set by others despite frequent interruptions. Ability to use initiative and exercise sound and effective judgment within established guidelines. Strong interpersonal skills - the ability to work effectively with students, parents, district staff, and community members from diverse backgrounds. Ability to communicate effectively, both verbally and in writing. Excellent organizational and time management skills; ability to multitask. Knowledge of the programs, functions, and procedures of a school setting. Ability to remain calm in emergency and stressful situations. Ability to exercise initiative and sound and effective judgment within established guidelines. Ability to analyze situations carefully and adopt effective courses of action. Preferred Qualifications 3+ years of administrative experience Experience working with children of diverse ethnic backgrounds in an urban school setting Other Information Transcript - Unofficial transcripts are accepted at the time of hire. You must submit official transcripts within 30 days of your start date. Formal credential evaluation is required for post-secondary education completed outside of the United States. Work Environment/Conditions Duties are normally performed outside of the school environment The position requires extensive interaction with children and families of all ages and ethnicities. Possible exposure to loud and noisy locations. Operate standard office equipment (computer, fax machine, telephone, copier machines, etc.). Fast-paced environment. Requires frequent keyboarding, which calls for repetitive motion and rapid eye movements, and frequent use of the telephone. The position requires the ability to stand for extended periods, push, reach, and bend. Work will require weekend and/or evening work, and some travel may be required.
