JOB SUMMARY AND QUALIFICATIONS

The Meeting & Event Coordinator will assist with the development and implementation of an effective corporate event program that supports the marketing and corporate strategic plans for HealthTrust, CoreTrust, AdvantageTrust and all related service lines. The Event Coordinator will support the Events Manager with managing and executing corporate events to include hosted conferences, trade shows, VIP meetings and hospitality events. The ideal candidate is detailed-oriented, an excellent communicator, thrives under pressure and has a proven track record of developing and executing effective corporate event programs in the healthcare field.

WHAT QUALIFICATIONS YOU WILL NEED:

  • Bachelor’s degree, hospitality/event management, marketing/advertising, communications, or a related discipline.
  • 3-5 years of experience in event planning within the healthcare industry with job related responsibilities in marketing, trade shows and/or corporate events.
  • Knowledge of exhibit planning best practices within the events/tradeshow medical industry a must.
  • Demonstrated ability to work independently and communicate effectively in both written and verbal form, and possess a high degree of organization, detail & creativity.
  • Enthusiastic and high-energy individual with an exceptional time-management aptitude and ability to handle multiple projects with ease.
  • Excellent customer service skills.

Responsibilities
  • The Meeting & Event Coordinator is responsible for assistance with the management and execution of logistics, budgeting, and overall organization of hosted conferences, trade shows and other corporate events. Primary responsibilities include supporting the Event Manager with: managing all event logistics, establishing timelines, managing a detailed budget, systems development and implementation, sourcing and managing contracts with venues and
  • Collaborate with the Event Manager to establish program agenda, overall project/timeline management, coordinate education offerings, source and manage contracts for venues, speakers and third-party vendors, as well as end-to-end logistical management for hosted conferences, trade shows and other corporate events.
  • Assist in the implementation and management of all systems for event registration, onsite solutions, trade show logistics, promotional item inventory, booth hardware inventory and mobile applications.
  • Manage budgets for each event, providing accurate financial information to accounting throughout the planning process. Monitor revenue budget, outstanding payments, and expenses for each event to ensure that expense and revenue target numbers are achieved.
  • Assist with the development and execution of marketing promotion strategies to improve event effectiveness, increase event revenue, promote registration and sponsorship opportunities, and maintain effective communication with attendees throughout planning process.
  • Coordinate with contracting team to ensure compliance in every promotional opportunity by exhibiting suppliers at our events.
  • Assist in the negotiation and ongoing relationship management of vendor contracts that provide supportive services for hosted conferences, trade shows and other corporate events, ensuring best possible pricing and service for event.
  • Proactively communicate project status, program deadlines, identifying any areas of concern or problems with associated solutions to the Event Manager and other internal customers as needed to ensure that logistics, registration, budget and scheduling needs are met.
  • Utilize metrics and processes to measure event success, providing analysis and recommendations to manager for continual program improvement.
  • Reference the brand style guidelines to ensure all brand communication is professional, accurate and approved before executing in any trade show or event.
  • Maintain up-to-date healthcare industry knowledge of trends, technologies and best practices for shows and events and communicate relevant findings to Event Manager.
