The Membership & Communications Coordinator plays a pivotal role in enhancing member engagement, streamlining club communications, and supporting the overall operations of the organization. This dynamic position blends hospitality, marketing, administration, and event planning to ensure a seamless and welcoming experience for current and prospective members.

Responsibilities

Membership Management

  • Serve as the primary point of contact for potential and existing members via phone, email, and in-person.
  • Conduct facility tours and manage onboarding, including profile creation, billing setup, and welcome communications.
  • Maintain accurate membership records, rosters, and anniversary logs.
  • Handle resignations with professionalism, ensuring proper documentation and follow-up.
  • Reprint membership cards and send letters of introduction to reciprocal clubs.

Email & Social Media Marketing

  • Create and schedule member communications using Constant Contact, including event notifications and daily club updates.
  • Manage social media platforms (Facebook & Instagram), scheduling posts, responding to messages, and promoting events.
  • Pin key updates and maintain a consistent posting schedule aligned with club activities.

Content Creation

  • Design menus, flyers, promotional materials, and signage for events and club communications.
  • Develop recruitment materials and themed collateral for seasonal campaigns and special occasions.
  • Produce branded content for wine tastings, luncheons, and private events.

Website & App Oversight

  • Update the club calendar, member roster, and photo galleries on the website.
  • Liaise with the website design team to transition to a public-facing site, including copywriting and content uploads.
  • Finalize and maintain the club’s mobile app, including event pinning and member communications.

Meeting Coordination

  • Organize and attend monthly committee meetings (Membership, Entertainment, BOD), both in-person and via Zoom.
  • Prepare and distribute membership packets, voting pages, and meeting materials.
  • Track action items and follow up post-meeting.

Calendar & Compass Publication

  • Design and distribute monthly club calendars via print and email.
  • Submit monthly Compass content including events, anniversaries, menus, and new member highlights.
  • Lead redesign efforts to bring Compass publication in-house.

Administrative Support

  • Answer daily calls and emails, including after-hours member support via mobile Outlook.
  • Order supplies, post job listings, and manage resumes.
  • Coordinate with vendors and entertainment, maintain Google calendar, and prepare dining name tags.

Event Planning & Execution

  • Collaborate with chefs, bar staff, and entertainment to plan and promote club events.
  • Create event sheets, flyers, menus, and communications for both member and private functions.
  • Decorate, set up, and ensure smooth execution of events, including staff briefings and last-minute adjustments.

Mailings & Reservations

  • Generate mailing lists and prepare invitations, ballots, and donation letters.
  • Manage reservations via email, voicemail, and phone; create seating charts and preorder spreadsheets.
