Responsibilities

YOUR ROLE

The Marketing Planning Coordinator plays a vital role in supporting the smooth operation of the OnePass team by managing and optimising our planning processes and tools. This role is the central point of coordination for marketing activity—responsible for maintaining Monday.com, tracking project updates, and ensuring campaigns and initiatives move through the pipeline efficiently and on time. The Coordinator supports visibility and momentum across the marketing function by keeping plans aligned, organised, and up to date.

WHAT YOU’LL BE DOING

Workflow & Campaign Coordination

  • Manage the day-to-day use of Monday.com as the central planning and project management tool for the marketing team.
  • Track progress across campaign and project timelines, ensuring key milestones, tasks, and owners are clearly defined and maintained.
  • Ensure consistent updates are captured in Monday.com to reflect real-time status and support reporting across the team.
  • Coordinate marketing input deadlines across teams to support the execution of the annual, quarterly, and monthly marketing plans.
  • Identify blockers and flag issues to relevant stakeholders to keep plans on track.

Marketing Calendar Management

  • Maintain the central marketing calendar in alignment with business priorities, trade events, and partner activity.
  • Support the planning and preparation of weekly trade meetings and monthly planning forums, including agenda coordination and material collation.

Process Improvement & Support

  • Continuously look for opportunities to improve how the team uses Monday.com and streamline planning processes.
  • Create and maintain templates, automations, and dashboards to improve visibility and efficiency.
  • Support onboarding and training for new marketing team members on Monday.com and related workflows.

Cross-Functional Collaboration

  • Liaise with initiatives owners and channels to ensure plans are accurate, complete, and achievable.
  • Partner with the Senior Marketing Manager and Partnership Managers to align on key campaign inputs, updates, and performance tracking requirements.
