Description:
The Marketing Production Coordinator must be a self-driven, extremely organized, detail-oriented professional with strong communication skills. This role will report to our Senior Videographer with primary responsibilities around initiating and producing photo & video shoots and creating assets and processes to streamline Balanced Body’s current approach to all shoots.
Secondarily, but essential, this role will have “dotted line” reporting to our Marketing Projects Manager, and work on a variety of research, production, and marketing operations projects, that support the larger Marketing Department. A great candidate for this position is a clerical genius, multi-tasker and a go-getter. No task is too small, no project is too big.

THE FOLLOWING QUALIFICATIONS ARE NEEDED TO SUCCESSFULLY MEET THE ESSENTIAL JOB FUNCTION:

  • Excellent interpersonal skills.
  • Ability to work autonomously and as part of a team and establish & maintain good working relationships
  • Must be able to manage several tasks, meet deadlines and work effectively under pressure
  • Ability to take direction
  • Valid driver’s license
  • Proficiency in Microsoft suite (Word, Excel, etc)
  • Minimum of 3 years-experience in a corporate office setting
  • Project management software experience

DESIRED QUALIFICATIONS

  • Experience with Wrike project management software
  • Experience with Adobe Creative Cloud
  • Experience in Pilates, fitness and/or wellness
  • Experience in photo/video production – camera, sound recording, lighting, set design
  • Experience in video post-production – video editing, image processing, visual effects

Responsibilities
  • Identify & screen potential instructors, models & locations for photo/video shoots
  • Create & manage databases of models, locations, props, apparel, freelance shooters/editors, etc.
  • Coordinate payment, paperwork, travel, and lodging logistics with talent
  • Create and organize invoices, releases, SOWs, contracts, and other files for easy access
  • Maintain Video Studio by making sure: equipment is returned after shoot, laundry is regularly picked-up, props are put away
  • Ensure Pilates equipment availability and allocation
  • Ensure shoots are delivered on-time, within scope and budget
  • Wear many hats on set: track shoot schedule, assist on-set and/or with wardrobe, coordinate lunch, etc.
  • Do administrative tasks such as updating marketing spreadsheets, executing marketing mailings and other Marketing support tasks as assigned.
  • Program video go-live dates, based on the Marketing calendar (in conjunction with Marketing team’s efforts); and link video/photo content to specific upcoming emails and social media campaigns
  • Assist on virtual events.
  • Work with Marketing Team to deliver photos and videos as requested and on deadline.
  • Keep assigned Project Management tool (Wrike) tasks and statuses accurately updated for a smooth and efficient process.
  • Facilitate post-production and asset management of photography, including sorting and naming RAW files, ensuring that the shotlist was captured, notifying team members of status, uploading and tagging edited photos in the DAM system, recognizing and archiving outdated products, and keeping us organized.
  • Manage photo and video processing processes to ensure photos and videos are completed as requested and are filed/organized accurately in Asset Management Library (Bynder) and internal Marketing drive.
