Summary The Marketing & Visual Merchandising Coordinator is responsible for supporting the organization, execution, and tracking of all marketing and visual merchandising initiatives across cruise ships, airport locations, and branded spaces. This role manages co-op timelines and coordination with Cruise operators Marketing departments, asset delivery, visual production follow up, shipments and logistics, invoice submissions, and the distribution of training materials. The coordinator ensures all retail touchpoints are executed on time and aligned with brand guidelines, aligning with Cruise operators deadlines and bringing consistency across all POS. Key Responsibilities Co-op Marketing & Campaign Coordination * Track and manage all co-op marketing activities across ships and airport accounts, ensuring all deadlines, stages, and deliverables are met. * Maintain a detailed master campaign calendar covering request intake, approvals, production, installation, and reporting stages. * Coordinate with Account Managers, Design team, and Retail Partners to ensure timely delivery of assets and deployments. Visual Merchandising Coordination * Track and follow up on the production, approval, and delivery of campaign visuals, including resizing, format variations, and artwork deadlines. * Coordinate with VSI or logistics distribution center to ensure on-time shipment and delivery of GWPs, branded collateral, and VM materials to all locations. * Maintain a visual distribution tracker with up-to-date status of visuals and materials (requested, produced, shipped, delivered, installed). * Distribute the latest Training Decks, VM Guidelines, and product updates to all Account Managers. VM Space Specs & Measurements * Build, manage, and update a comprehensive database of all measurements and specifications for SIS spaces, branded areas, and visual placements onboard ships and in airports. * Renew visuals quarterly or twice annually to ensure accuracy and alignment with Brand guidelines and campaigns. * Support layout mockups, planograms, and visual recap submissions as needed. Finance & Administrative Coordination * Submit and track invoices and co-op related expenses, following company finance procedures. * Maintain organized folders and documentation for campaign assets, invoices, artwork, measurements, and shipping trackers. * Assist with monthly and quarterly recap reports, including visual installations and campaign activity highlights. Cross-Functional Collaboration This role will work alongside and report to Marketing Director and collaborate closely with: * Account Managers / Sales * Visual Merchandising * VSI / Logistics / Procurement * Finance (POs and invoice submissions) * Creative / Design Teams * Cruise & Airport Retail Partners Required Skills & Qualifications * Bachelor’s degree in Marketing, Communications, Visual Merchandising, or related field * 2–4 years of relevant experience (Travel Retail, Duty Free, or Luxury a plus) * Strong project management and organizational skills * Exceptional attention to detail and follow-through * Proficiency in Excel, PowerPoint, and project-tracking tools * Strong communication skills and ability to manage multiple priorities in a fast-paced environment * Positive, solution-oriented, and collaborative mindset EEOE
