ABOUT THE ROLE Our client is one of Australia's largest financial institutions — a collaborative, long-tenured organisation operating across multiple strategic programmes of work. Following significant growth, including the integration of a major additional book of business, the organisation is investing heavily in programme governance and delivery assurance. The Master Scheduler will be a critical hire, sitting at the centre of the organisation's portfolio governance model. The role exists to design, build, and maintain a single master schedule that provides the Portfolio Director and Portfolio Managers with clear, accurate, and real-time visibility across three core strategic portfolios — spanning effort, burn, cost, and milestone progress. This is not a project management role. The client is specifically seeking a career master scheduler — a professional whose core discipline is the science and practice of building, integrating, and sustaining complex schedules from the ground up. WHAT YOU WILL DO Build a master schedule from scratch, engaging directly with all Portfolio Managers to understand the full scope of projects within each of the three strategic portfolios. Design and implement scheduling frameworks, standards, and processes that do not currently exist within the organisation. Maintain and continuously update the master schedule to reflect real-time project status across effort, burn, cost, risks, and milestones. Work collaboratively with Portfolio Managers on a day-to-day basis to ensure schedule accuracy, flag variances, and support delivery governance. Provide the Portfolio Director with consolidated, portfolio-level schedule reporting that enables informed decision-making and executive-level communication. Identify scheduling risks, dependencies, and critical path issues across multiple concurrent projects and programmes. Act as the scheduling subject matter expert — setting standards, challenging where necessary, and advising stakeholders on best-practice scheduling methodology. Establish strong working relationships with Brisbane-based Portfolio Managers, with an expectation to attend Brisbane in-person during the initial onboarding period. Integrate inputs from multiple project teams into a single coherent master view, normalising data and resolving conflicts across portfolios. WHAT WE ARE LOOKING FOR Experience 5–8 years of dedicated master scheduling experience — this role is for a practitioner, not a project manager who occasionally builds schedules. Proven ability to build a master schedule from the ground up in an environment where no established schedule exists. Experience working within BFSI organisations (banking, financial services, or insurance) — ideally within complex, multi-portfolio or enterprise-level programme environments. Track record of engaging across multiple portfolios simultaneously, balancing competing demands and stakeholder priorities. Experience working closely with portfolio managers, programme directors, and senior stakeholders to gather, validate, and integrate scheduling data. Technical Skills Deep, hands-on expertise in Microsoft Project — certified MS Project Professional or equivalent advanced proficiency is highly regarded. Strong understanding of scheduling methodologies including critical path analysis, resource levelling, baseline management, and earned value concepts. Ability to work with complex, multi-layered schedule structures across concurrent projects within a portfolio or programme. Proficiency in translating detailed schedule data into meaningful executive summaries and portfolio-level reporting. Behaviours and Approach Hands-on and detail-oriented — comfortable getting into the granular detail of a schedule, not just reviewing from a high level. Confident communicator who can engage credibly with senior stakeholders and push back constructively when scheduling standards are not being met. WHAT MAKES A STANDOUT CANDIDATE You can speak specifically to an engagement where you inherited an organisation with no master schedule and describe, step by step, how you built one from the ground up. You have built large-scale, complex schedules within BFSI — ideally within a bank, insurer, or superannuation fund. You are a career master scheduler — scheduling is your professional identity, not a component of a broader project management role. You hold Microsoft Project certification or can demonstrate equivalent advanced, expert-level proficiency. You understand the difference between a project schedule and a master schedule, and can articulate how you integrate individual project schedules into a single portfolio view.
