CANDIDATE PROFILE

This is a busy office where no two days are the same and we are looking for someone who is very organised, able to prioritise and proficient at multitasking and managing a dynamic workload.
With excellent knowledge of Microsoft 365, you will have the ability provide a high standard of customer service and a willingness to use your initiative and flair to help the Mayor to deliver a successful Mayoral year.
You will need experience of business or executive support along with planning and delivering large events either in a professional or personal capacity.

Responsibilities

Based within the Legal and Democratic Services department, the Members’ Services Team provides advice and support to all Members of the Council.
We are looking for a Mayoralty Officer to provide a high quality comprehensive, effective and efficient business support to the Mayor and Deputy Mayor.

You will be responsible for:

  • Acting as the first point of contact with the Mayoralty and providing assistance to support the Mayor is delivering their civic role.
  • Managing the Mayor’s emails, prioritising the most important and/or urgent messages and ensuring all invitations and correspondence received by the Mayor are promptly and accurately responded to, either personally or by others.
  • Managing and maintaining the Mayor’s diary, including scheduling appointments and engagements, working with the Macebearer and Mayoral Chauffeur to arrange transport and logistics, and ensuring that the Mayor has all the information need in advance of any events.
  • Preparing and circulating the Mayor and Deputy Mayor’s weekly schedule of events and engagements, liaising with external organisations where necessary.
  • Helping to plan, co-ordinate and deliver a programme of civic and charity events, to include formal parades, services, formal dinners and various fundraising activities in support of the Mayor’s Charity Appeal. This includes identifying venues, catering, assisting in the preparation of publicity materials and working with external partners to ensure their smooth delivery.
  • Develop an understanding of the specific requirements of the Mayor, pre-empting issues, identifying solutions and implementing consistent business administration systems & processes, in line with Council’s ways of working.
  • Working with and maintaining excellent relationships with both within and outside the Council, including liaising with VIPs and a wide range of community and voluntary organisations.
