Our team secures high-impact media placements for clients through top-tier global outlets such as CBS, Fox News, Vogue, and Forbes. At PFG, we amplify brands that are making a difference. Our focus is on meaningful visibility, measurable results, and long-term growth. We also operate Signal Raptor, a standalone software solution that enhances brand exposure and supports business scaling. Role The Media Specialist is responsible for supporting the Publicist with back-end tasks and ensuring smooth media and client operations. Direction and training will come directly from the Publicist or PR Manager. You will handle a wide range of administrative and PR-related tasks including scheduling, email and inbox management, reporting, Airtable updates, and coordinating with both clients and media. Responsibilities Support PR clients by managing media opportunities, responding daily, and delivering to clients same-day. Manage media inquiries inbox and send daily PR opportunities after review. Coordinate client-media interviews and follow up with media contacts. Update coverage books, live links, and client media tracker. Ensure weekly product requests are tracked, updated, and followed up on with clients Prepare daily, weekly and monthly reports. Update Airtable, PR agendas, and the PR Playbook. Conduct industry research, create media lists, schedule meetings, and prepare presentation slides. Contribute to team projects and initiatives. Results Media opportunities are delivered daily and all messages are answered promptly. Clients consistently receive accurate and timely reports (daily, weekly, monthly) Media interviews and opportunities are confirmed, scheduled, and completed successfully. Airtable, trackers, and client records are consistently accurate and up to date. Strong communication, organizational, and administrative support delivered to Publicists and clients. Independent execution of administrative and PR projects, even under pressure. Strong internet connection and experience with Slack, Zoom, and Google Workspace (Docs, Sheets, Drive, Calendar). 1-2 years as an Executive Assistant, PR Assistant, or Media Coordinator. Excellent communication, organizational, and time management skills. Ability to prioritize multiple tasks, meet deadlines, and work autonomously in CST hours. Analytical, proactive, and detail-oriented. Familiarity with PR tools (Cision, Slack) and file-sharing platforms (Dropbox, OneDrive, Google Drive). Professional demeanor with strong problem-solving skills and discretion. Customer-service mindset with a desire to support and help clients. Ability to anticipate and resolve problems before escalation.
