About Us

Melbourne Orthopaedic Group (MOG) is a leading orthopaedic practice, home to a team of highly regarded surgeons and physiotherapists.

About the Role

We're looking for a warm, organised and proactive Medical Administration Officer to join our team on a permanent part-time basis (30 hours per week). As the first and last point of contact for our patients, you'll play a vital role in shaping their experience with the practice while providing essential administrative support to our Practitioners.

Hours will vary across a 7:30am–5:30pm window, so flexibility around shift times is important.

You will work closely with patients, referring doctors, fellow staff, suppliers and other health professionals in a fast-paced, collaborative environment.

Key Responsibilities

  • Warmly greet and assist patients, clients and visitors
  • Answer and manage phone enquiries promptly and professionally
  • Monitor and action email correspondence daily
  • Manage the appointment diary, including waitlists and schedule changes
  • Prepare and stock treatment rooms ready for each session
  • Process patient payments and financial transactions, including HICAPS, Workcover, TAC and Telehealth billing
  • Provide basic IT support as needed

About You

  • Excellent communication and interpersonal skills
  • Confident using practice management systems, word processing and spreadsheets
  • A genuine, empathetic approach to patient care
  • Strong time management and the ability to prioritise in a busy environment
  • Adaptable and calm under pressure, with sound judgement in handling difficult situations
  • Comfortable working both independently and as part of a team
  • Prior experience in a medical, allied health or similar customer-facing administrative role highly regarded
