About the Role
We are seeking an experienced Administrative Assistant (Medical Office) to join our team. The successful candidate will bring a strong background in medical office administration, excellent organizational skills, and a passion for delivering exceptional patient service. This role is essential in ensuring smooth clinic operations, supporting our providers, and creating a welcoming environment for patients.

Key Responsibilities

  • Provide front desk reception duties, including greeting patients, answering calls, and responding to inquiries.
  • Schedule and manage appointments for multiple healthcare providers.
  • Process and manage specialist referrals, including booking and patient communication.
  • Handle incoming mail, faxes, prescriptions, and other documentation.
  • Maintain accuracy and confidentiality in electronic medical records (EMR) systems (Telus PS Suites experience required).
  • Support team meetings by organizing agendas, recording minutes, and distributing materials.
  • Collaborate with the clinical and administrative team to ensure smooth daily operations.
  • Assist the Business Operations Manager with additional tasks as assigned.
  • Ensure infection control and safety standards are met within the clinic.

Required Qualifications

  • Minimum 2 years of receptionist/administrative experience in a medical office (required).
  • Proficiency in Telus PS Suites EMR.
  • Demonstrated experience scheduling for multiple providers in a fast-paced medical setting.
  • Strong computer skills: Microsoft Office (Word, Excel, Outlook) and general office software.
  • Exceptional communication, organizational, and problem-solving skills.
  • Ability to work both independently and as part of a team in a dynamic healthcare environment.
  • Current immunization record, Accessibility Training, WHMIS, and Mask Fit testing (provided if not in place).
  • Vulnerable sector police clearance (required).
  • Reliable transportation to the Horseshoe Valley clinic location.
