SKILLS & EXPERIENCE

  • Minimum 1 year of experience in medical administration or medical reception (essential)
  • Strong customer service and interpersonal communication skills
  • Proven ability to work independently and handle stressful situations professionally
  • High attention to detail and commitment to accuracy
  • Sound understanding of Medicare processes, private billing, and medical terminology
  • Proficiency in medical practice software and Microsoft Office suite (or willingness to learn)
  • Demonstrated reliability, discretion, and ability to handle confidential information
  • Strong long-term career commitment and interest in growing with the clinic

Responsibilities

ABOUT THE ROLE

Reporting directly to the Practice Manager, the Medical Administrator will play a key role in ensuring the day-to-day operations of the clinic run smoothly. This role requires someone who can work independently, manage multiple priorities under pressure, and contribute to a positive patient experience.
This position may begin as part-time or casual and will be negotiated to a full-time role based on performance and clinic needs.

KEY RESPONSIBILITIES

  • Greet and assist patients both in person and over the phone
  • Manage appointment scheduling and bookings for face-to-face and Telehealth consultations
  • Process billing for Medicare, private health, and other third-party payers
  • Maintain accurate patient records and perform data entry in the practice management system
  • Coordinate referrals, medical reports, and correspondence with specialists and hospitals
  • Provide administrative support to doctors and senior staff
  • Maintain a clean, organised, and welcoming reception and waiting area
  • Manage incoming emails, mail, and general office tasks
