Cyra Beauty, Health and Laser Clinic is a new, physician-led clinic, specializing in premium cosmetic and healthcare services. We deliver advanced skin rejuvenation treatments with a focus on safety and efficacy. From top-of-the-line lasers to our signature non-surgical face-lift, injectables and IV therapy, we perform world-class treatments to improve aging, enhance skin clarity, and sculpt the body.
The Medical Aesthetician delivers safe, effective energy-based treatments and supportive skincare services while providing an outstanding client experience.

PHYSICAL REQUIREMENTS

  • Prolonged standing; repetitive arm/hand motions; safe lifting up to ~25 lbs (devices/boxes).
  • Tolerance for PPE; adherence to infection control and sanitation procedures.

QUALIFICATIONS & EXPERIENCE:

  • 2+ years of customer service experience
  • At least 1 year working as a laser technician/aesthetician working in a medical aesthetic (or related) clinic.
  • Willingness to support front desk.
  • Knowledge of non-surgical cosmetic procedures.
  • Knowledge of medical-grade skincare (i.e., Dr Zo, Skinbetter Science)
  • Proficiency in using EMR software
  • Passion for the aesthetic industry and client care.

Responsibilities

Employee Etiquette

Clinical Treatments & Safety

  • Perform treatments per protocol (scope based on training/certification) e.g., laser hair removal, fractional C02 resurfacing, RF microneedling, chemical peels, and advanced facials.
  • Conduct consultations, informed consent, treatment planning, and pre/post-care counselling.
  • Calibrate/operate devices; enforce laser safety (eyewear, signage, controlled access).
  • Ensure cleanliness of equipment/machines pre/post-treatment.
  • Maintain immaculate room setup/turnover; monitor consumables and treatment inventory.
  • Escalate concerns promptly to the Medical Lead (adverse events, contraindications).

Client Care & Outcomes

  • Build rapport; set realistic expectations aligned with indications/contraindications.
  • Capture/manage standardized before/after photos; complete accurate, timely EMR charting.
  • Schedule appropriate treatment intervals; rebook and follow up to support results.
  • Handle service recovery with empathy; escalate complex issues appropriately.

Customer Service

  • Acknowledge, engage and welcome clients as they are entering the clinic (verbal or non-verbal acknowledgment if you are on the phone).
  • Providing exceptional customer service with a respectful and compassionate attitude to all clients.
  • Check in clients, ensure consent forms are filled, provide a credit card on file and updated client information, and help clients as needed.
  • Check out clients efficiently, and effectively.
  • Support with clinic promotional events.
  • Answer the phone promptly, with enthusiasm and care.
  • Stay on top of staff schedule and timeliness.
  • Be conscious of appointment time lengths when scheduling ensuring effective use of clinic rooms, and allowing time for rooms to be cleaned and prepared.
  • Ensuring clinic waiting room, entryway, and restrooms are pristine, without clutter or uncleanliness.
  • Answer inquiries via phone, email, social media, walk-ins.
  • Educate clients about promotions, memberships, services and products as part of client retention strategies.
  • Sell retail products to walk-ins and existing clients to complement clinical plans.
  • Educating patients when and how to use each product, possible benefits, and reactions they may experience and what that means in their skin health journey.

Documentation, Privacy, & Compliance

  • Prepare charts with appropriate consent forms and information for clients.
  • Gather required client contact information and referral information such as Full Name, Phone, Email, DOB, Address, CC on file, and how they heard about us.
  • Coordinate client messages to appropriate providers; respond promptly to lead inquiries.
  • Complete accurate EMR notes and treatment records the same day.
  • Follow photo protocols, consent procedures, and device checklists.
  • Protect client confidentiality; comply with applicable health, privacy, and advertising standards.
  • Participate in audits, incident reports, and continuous improvement tasks.

Product/Service Knowledge

Clinic Schedule/ Client Calls

  • Coordinate client messages to appropriate providers.
  • Facilitating financial transactions, through full payment or financing options, in person, online or over the phone across multiple payment types (ie, cash, debit, credit)
  • Handling client’s inquiries and resolving issues promptly and professionally.
  • Providing feedback on marketing materials and strategies to enhance outreach efforts.
  • Participating in the team meetings to share insights and strategies for improving sales performance
  • Book new/returning clients by phone/in-clinic; call forevents and promotions.
  • Strengthening/building partnerships with providers/businesses in the community.
  • Manage email lists; send promotional emails/newsletters and respond to queries.

Facility

  • Clean desk and waiting area (dust, arrange brochures, arrange skin care.
  • Stock retail shelves and control inventory.
  • Abide by client confidentiality requirements.
  • Stock desk with supplies.
  • Support with cleaning (vacuum, mop, wipe counters, garbage, etc.) and stocking treatment rooms (gauze, syringes, etc).
  • Ensure garbage is only thrown out in the designated area.

Supporting Providers

  • Checking in on clients who are waiting for a service (i.e., conversing, ensuring they are comfortable, offering water, etc).
  • Keep waiting room/entryway/restrooms spotless; stock retail shelves; control inventory.
  • Support treatment rooms (stocking gauze, disposables, etc.); assist with basic clinic cleaning.
  • Bring clients to rooms when providers need support or are behind schedule.
  • Prep charts/clients (photos, numbing per protocol, consents).

Client Payments

  • Taking and processing payments, providing invoices, applying promotions to prices through EMR, and taking cash payments in person.
